Overview
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and supporting administrative functions across various departments. The ideal candidate will possess strong office skills, excellent communication abilities, and proficiency with relevant software tools. Experience in a construction office setting is a plus, but not required. This position offers an engaging work environment where attention to detail and organizational skills are highly valued.
Responsibilities
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Maintain organized filing systems both electronically and physically
- Schedule appointments, coordinate meetings, and manage calendars efficiently
- Perform clerical duties including photocopying, faxing, mailing, and proofreading documents
- Support bookkeeping activities using QuickBooks or similar accounting software
- Provide excellent customer support by addressing inquiries promptly and professionally
- Assist with administrative tasks such as preparing reports, maintaining records, and managing correspondence
- Ensure the reception area remains tidy and welcoming at all times
Experience
- Prior office experience preferred, especially in administrative or clerical roles
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and front desk operations is desirable
- Knowledge of Sage or bookkeeping software is a plus
- Strong data entry skills with high accuracy and attention to detail
- Excellent organizational skills with the ability to multitask effectively
- Demonstrated customer service skills with professional phone etiquette
- Previous experience in medical or dental office environments is advantageous but not mandatory
- Proven ability to handle confidential information discreetly and maintain professionalism at all times
Pay: $35,000.00-$40,000.00 per year
