VALUE OF THIS ROLE
The Payroll Specialist reports to the Group Controller and plays a key role in ensuring the accurate, timely, and compliant administration of payroll and benefits for approximately 230 employees across Canada and the United States. As the owner of the full-cycle payroll function, this position is responsible for payroll processing, benefits administration, ROEs, T4/T4A preparation (USA W-2, 1099 forms), off-cycle payroll runs, reconciliations, payroll reporting, and support for month-end and year-end financial processes.
Working closely with Finance, People & Culture, and employees across the organization, the Payroll Specialist serves as a trusted resource for payroll-related inquiries while driving accuracy, compliance, and continuous process improvements. This role is ideal for a highly organized and detail-oriented payroll professional who takes pride in delivering exceptional service and thrives in an environment where accuracy, accountability, and collaboration are essential to success.
CORE AREAS OF RESPONSBILITY
Payroll Processing
- Process bi-weekly payroll for approximately 240 hourly and salaried employees across Canada and the United States.
- Review and validate employee timecards, overtime, vacation, and leave information.
- Manage and respond to payroll-related inquiries from employees, management, and external agencies (e.g., Service Canada, USA SSA).
- Maintain employee payroll records and ensure payroll information is accurate, complete, and up to date.
- Maintain company earning codes and time-off policies to ensure compliance with company policies and regulatory requirements.
- Prepare commission reports and enter approved commission data into the accounting and payroll systems for processing.
- Process new hires, salary adjustments, promotions, employee status changes, and other payroll-related employee transactions.
Compliance and Remittance
- Maintain detailed payroll records and supporting documentation for audit purposes and statutory compliance.
- Ensure compliance with applicable federal, provincial/state, and local employment standards, payroll legislation, and tax regulations.
- Prepare and submit payroll-related remittances, including CPP, EI, income tax, WCB/WorkSafeBC, EHT, garnishments, RRSP and other statutory deductions. (USA: FICA, worker’s compensation, IRA)
- Prepare and submit Records of Employment (ROEs) and other required payroll filings within legislated timelines.
- Assist with year-end payroll activities, including T4 and T4A preparation, reconciliation, and distribution. (USA: W-2, 1099 forms)
- Monitor payroll legislation changes and recommend updates to payroll practices, policies, and procedures as required.
Reporting & Reconciliation
- Reconcile payroll registers, payroll liabilities, benefit deductions, and related general ledger accounts.
- Prepare periodic budget-to-actual comparisons, and variance analysis for Management.
- Support business unit managers with payroll reporting, report development and analytics.
System & Process Improvement Support
- Participate in payroll, reporting, and process improvement initiatives.
- Maintain payroll systems and user access controls while ensuring data integrity and security.
- Identify opportunities to improve payroll accuracy, efficiency, internal controls, and reporting capabilities.
- Perform other duties as assigned by the Group Controller or VP of Finance.
OUR IDEAL CANDIDATE
Qualifications & Experience
- Minimum 3 years of experience managing full-cycle Canadian payroll administration.
- Hands-on experience with payroll systems, preferably ADP Workforce Now.
- Experience administering U.S. payroll, particularly in the State of Texas, is considered a strong asset.
- Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute (formerly the Canadian Payroll Association).
- Strong knowledge of payroll-related legislation and regulatory requirements, including employment standards, taxation, and payroll compliance.
- Solid understanding of payroll accounting principles, including benefit reconciliations, accruals, and journal entries.
- Intermediate proficiency in Microsoft Excel, with the ability to analyze, reconcile, and validate payroll data.

- Exceptional verbal and written communication skills, with the ability to explain payroll matters clearly and professionally.
- Strong customer service orientation, demonstrating responsiveness, professionalism, and a commitment to delivering a positive employee experience.
