Alpha Career College (ACC) is seeking a highly organized and people-focused Placement Coordinator to join our Student Placement, Training, and Skills Development team. This onsite, full-time role plays a key part in supporting student success by coordinating practicum placements, maintaining strong relationships with placement partners, and ensuring compliance with program and Ministry requirements.
Key Responsibilities:
- Coordinate and oversee student placements in alignment with program, Ministry, and accreditation requirements
- Match students to appropriate placement sites based on readiness, program needs, location, and site capacity
- Create and manage student schedules using the When I Work app and internal tracking tools
- Monitor attendance, hours, and placement progress; address lateness, absences, and performance concerns
- Conduct regular check-ins with students and provide timely support and early intervention when issues arise
- Manage, document, and follow up on placement-related incidents to ensure resolution and policy compliance
- Conduct one-on-one meetings with students following placement terminations and document outcomes in collaboration with academic leadership
- Build and maintain strong relationships with healthcare facilities and community placement partners
- Identify and secure new placement sites through outreach and follow-up communications
- Gather and document feedback from placement partners on student performance and site expectations
- Support placement orientation sessions and clearly communicate expectations, schedules, and conduct standards
- Serve as the primary point of contact for student placement inquiries and ongoing support
- Maintain accurate placement records, agreements, WSIB documentation, and site requirements
- Prepare and submit reports on placement progress, attendance, and partner engagement
- Ensure all placement documentation, databases, and shared files are current and audit-ready
- Support compliance, quality assurance, and internal audits; escalate risk or compliance issues as needed
Qualifications:
- Diploma or degree in a related field (Office Administration, Business, Social Services, Healthcare, Education, or similar)
- Experience in a coordination or administrative role; experience working with external partners is an asset
- Familiarity with practicum/clinical placement requirements or Ministry/accreditation standards is an asset
- Strong organizational, time-management, and communication skills
- Ability to manage multiple priorities with accuracy and attention to detail
- Sound judgment and discretion when handling sensitive situations
- Proficiency in Microsoft Office and comfort using scheduling and placement management tools
Working Conditions:
- Primarily office-based
- Some flexibility required for evening or weekend coordination as needed.
