We are currently seeking a highly organized, detail-oriented, and computer-savvy Project Support Specialist to support our national UXO operations. This is a full-time position offering comprehensive benefits and opportunities for professional growth.
Educational & Experience Requirements:
- Diploma, Certificate, or Degree in Business Administration, Accounting, Mathematics, Office Administration, or a related field (preferred)
- Proven experience in administrative, project support, or operations support roles, ideally in a fast-paced environment
- Strong analytical, organizational, and problem-solving abilities
- Exceptional attention to detail and commitment to accuracy
- Strong written and verbal communication skills
- Advanced proficiency in Microsoft Excel and strong working knowledge of Microsoft Office (Word, Outlook, PowerPoint)
- Experience working with spreadsheets, data entry, tracking systems, and quality control processes
- Ability to prioritize competing tasks and manage time effectively
- Experience with payroll, timecard, expense, or accounting-related systems considered an asset
- Accounting, bookkeeping, finance, or mathematics background considered an asset
Main Responsibilities:
- Manage timesheets and expense entries for a large employee base, ensuring accuracy and compliance with company policies
- Perform quality control reviews of UXO field documentation, including Daily Operations Reports, Quality Control Reports, Safety Reports, Tailgate Meetings, and Final Reports
- Maintain and organize project spreadsheets, databases, and tracking systems to support operational and financial reporting
- Assist with payroll, project cost tracking, and administrative quality assurance activities
- Coordinate employee travel arrangements including flights, accommodations, transportation, and travel itineraries
- Draft and issue employee contracts, ensuring terms and conditions are accurately documented
- Coordinate onboarding activities and oversee completion and filing of new hire documentation
- Provide administrative and operational support to project teams, including scheduling meetings, preparing documents, taking minutes, and maintaining organized project files
- Support continuous improvement initiatives and assist with special projects as assigned
- Adhere to all company policies, procedures, and safety expectations
