Position Summary
Royal Fence is seeking a highly organized and detail-oriented Contract Administrator to support our growing construction operations. Reporting to senior management, the Contract Administrator will oversee the administrative aspects of contracts from tender award through project completion, ensuring compliance with contractual obligations, maintaining accurate documentation, and supporting successful project delivery.
The ideal candidate has strong organizational skills, construction industry knowledge, and the ability to work effectively with project managers, estimators, clients, suppliers, and subcontractors.
Key Responsibilities
Contract Administration
- Review, prepare, and administer construction contracts, subcontracts, purchase orders, and change orders.
- Ensure all contract documents are complete, accurate, and compliant with client requirements.
- Track contractual obligations, deadlines, notices, insurance certificates, bonding requirements, and warranty documentation.
- Maintain organized electronic contract files.
Project Support
- Assist Project Managers with project startup documentation.
- Coordinate contract execution between clients, subcontractors, and suppliers.
- Prepare and submit progress billing, holdback releases, statutory declarations, and closeout documentation.
- Monitor project documentation to ensure compliance with contract requirements.
Compliance & Documentation
- Maintain records of WSIB clearance certificates, insurance documentation, health and safety documentation, and required certifications.
- Ensure compliance with provincial, municipal, and client-specific contract requirements.
- Assist with permit applications and regulatory documentation when required.
Financial Administration
- Track contract values, approved change orders, and payment schedules.
- Assist with invoice preparation and collection of outstanding accounts.
- Support project cost tracking and reporting.
- Coordinate with accounting regarding billing, payments, and contract administration.
Communication
- Act as a liaison between clients, consultants, project managers, suppliers, and subcontractors.
- Respond professionally to client requests and contractual inquiries.
- Prepare correspondence, meeting minutes, and project reports.
Tender Support
- Assist estimators with bid submissions by compiling required documentations.
- Prepare prequalification packages and contractor qualification documents.
- Maintain records of completed tenders and awarded contracts.
Qualifications
- Diploma or degree in Business Administration, Construction Management, Engineering Technology, or a related field is preferred.
- 3+ years of experience in contract administration, construction administration, or project coordination.
- Experience in civil construction, fencing, roadway infrastructure, or heavy construction is considered an asset.
- Strong understanding of construction contracts (CCDC contracts considered an asset).
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Experience with construction management software is an asset.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple projects and deadlines simultaneously.

Working Conditions
- Full-time, permanent position.
- Office-based with occasional visits to project sites throughout Southwestern Ontario.
- Standard business hours with flexibility during peak construction seasons.
