Job Overview
We are looking for a highly organized and proactive Office Manager to oversee the day-to-day operations of our Richmond Hill office. You will be the operational backbone of our team — keeping our workplace running smoothly, supporting staff, and ensuring a productive and welcoming environment for everyone.
Duties
- Manage office supplies inventory, equipment maintenance, and vendor relationships
- Oversee reception, mail distribution, and general office correspondence
- Coordinate scheduling, meeting rooms, and calendar management for leadership
- Onboard new employees and maintain HR documentation and personnel files
- Liaise with the accounting team on expenses.
- Ensure office compliance with health, safety, and workplace regulations.
- Serve as the first point of contact for facility issues, repairs, and maintenance.
- Support senior management with travel bookings, expense reports, and ad hoc tasks
- Implement and improve internal processes and administrative procedures.
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
- Excellent computer skills including data entry, typing, proofreading, and familiarity with multi-line phone systems
- Previous experience in customer service or customer support roles with strong phone etiquette
- Ability to handle filing systems efficiently and maintain accurate records.
- Experience in medical or dental office environments is a plus but not required
- Strong organizational skills with attention to detail and ability to multitask effectively
- Demonstrated ability to work independently and as part of a team in a fast-paced environment.
Qualifications
- Diploma or degree in Business Administration or related field
- 3+ years in an office management or senior admin role
- Proficiency in Microsoft Office 365 and Google Workspace
- Experience with accounting software (e.g. QuickBooks) is an asset
- Strong written and verbal communication skills
Pay: $48,000.00-$53,000.00 per year
