Facilities Planning Manager

Over the next five years, we plan to invest $20M–$25M in capital improvements and property rehabilitation projects across our portfolio — investments that will benefit our owners, tenants, and communities.
We are seeking a highly organized and detail-oriented Facilities Planning Manager to join our Facilities team.
This role is responsible for the planning, coordination, administration, and tracking of renovation and rehabilitation projects across our portfolio. Projects may range from individual unit renovations to larger multi-trade building improvement initiatives. You will also be responsible to managing ongoing service contracts and inspections for the Facilities team.
Working closely with Property Supervisors, Site Managers, vendors, and external Construction Management Project Managers, the Facilities Planning Manager will oversee project schedules, budgets, procurement coordination, invoice tracking, and lender funding submissions to help ensure projects remain organized, on schedule, and financially controlled.
This role is ideal for someone who is operationally strong, highly organized, quantitatively minded, and comfortable managing detailed project information in a fast-paced environment.
In addition to the base compensation, the Facilities Planning Manager will participate in a commission incentive for each project.
Primary Responsibilities
- Collaborate with Facilities teams and external Project Managers to define project scope, schedules, priorities, and milestones.
- Develop and maintain detailed project plans, schedules, budgets, and tracking systems.
- Coordinate trades, suppliers, and procurement activities to support timely project completion.
- Issue and track purchase orders, quotes, work orders, and project-related invoices.
- Monitor project budgets, commitments, and actual costs to support accurate financial tracking and reporting.
- Prepare and submit project funding documentation and lender draw requests.
- Ensure change requests, budget revisions, and schedule adjustments are properly documented and approved.
- Conduct project inspections and follow-ups to ensure projects are progressing according to plan, schedule, and quality expectations.
- Maintain organized project documentation and reporting throughout the project lifecycle.
- Support continuous improvement of project planning, renovation coordination, and facilities processes.
- Perform additional duties as assigned.
Qualifications & Experience
- Minimum 3 years of experience in project planning, facilities coordination, construction administration, or property rehabilitation, preferably within multi-family residential.
- Strong organizational and administrative skills with the ability to manage multiple projects simultaneously.
- Highly detail-oriented with strong quantitative and analytical abilities.
- Experience tracking budgets, invoices, schedules, and procurement activities.
- Strong problem-solving and communication skills.
- Ability to work collaboratively across operational, facilities, and vendor teams.
- Comfortable working in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office, Microsoft Project, and Microsoft Teams.
