ABOUT US
Kent Metal Products is a well-established metal fabrication company based in Vancouver, BC, proudly serving clients across the Lower Mainland and beyond. As we navigate a period of transition, we are seeking a capable and detail-oriented Office Manager to keep our operations running smoothly for a 6-month contract.
ROLE OVERVIEW
This is a hands-on, multi-faceted role that sits at the heart of our daily operations. You will be the go-to person for finance administration, human resources support, vendor coordination, facilities management, and general office administration.
KEY RESPONSIBILITIES
Financial Administration (AR/AP)
· Upload and process invoices; manage payments via credit card, Plooto, e-transfer, and wire transfer
· Record and apply incoming payments; follow up on overdue accounts and collections
· Perform monthly account reconciliations; track missing receipts and resolve discrepancies
· Handle employee expense reimbursements; ensure GST/PST invoices are entered by the 15th of each month
· Complete credit applications and review monthly vendor statements; request missing invoices
· Create invoices from work orders; scan all backup documentation into project folders and QuickBooks Online
Human Resources
· Organize and coordinate employee training programs
· Create and maintain job postings on Indeed and other platforms
Administration
· Monitor the Kent Metal email inboxes; answer phones; handle walk-in customer and staff inquiries
· Renew business licenses (Vancouver & Coquitlam) and fleet insurance; report and follow up on ICBC claims
· Prepare work orders, purchase orders, and packing slips
· Coordinate sandblasting, powder coating, and galvanizing with vendors
Facilities & Operations
· Coordinate couriers, mail, and small deliveries; manage raw material and office supply inventory; order pallets
· Coordinate equipment repairs, scrap/garbage bins, pest control, alarms, water filters, and building maintenance across both locations
· Run errands as needed: machinery pickups, cheque pickups, Stat Decs, Amazon returns, and supply runs
QUALIFICATIONS & EXPERIENCE
· 2+ years of experience in an office management, administrative, or bookkeeping role
· Proficiency in QuickBooks Online (QBO) or similar accounting software
· Solid understanding of accounts payable/receivable and basic bookkeeping principles
· Experience with payment platforms such as Plooto, e-transfer, or wire transfers is an asset
· Strong computer skills: Microsoft Office Suite (Word, Excel, Outlook)
· Ability to manage multiple priorities in a fast-paced, industrial environment
· Experience in a manufacturing, trades, or industrial company is a strong asset
· Valid driver's licence and access to a vehicle (for occasional errands)
