We are currently recruiting a full-time Legal Administrative Assistant to join our busy and fast-paced team. This position will support the Business Law team by assisting lawyers, paralegals and senior legal administrative assistants. We are looking for a self-motivated professional with strong multitasking skills and excellent written communication abilities who can thrive working independently.
DUTIES & RESPONSIBILITIES
- Assist with the coordination and facilitation of commercial transactions from start to finish
- Prepare, edit and coordinate documentation for commercial transactions
- Conduct due diligence searches (including but not limited to Personal Property Registry, LTSA, and tax searches) and analyze results
- Maintain accurate and well-organized files, including file management, time entry, and billing
- Proactively manage calendars and Bring Forward systems to ensure critical deadlines are met
- Liaise regularly with lawyers, paralegals, legal assistants, and clients to provide updates and support file progression
- Provide overflow and administrative support to legal assistants, paralegals, and lawyers as required
- Perform general administrative duties that support the overall efficiency of the practice
REQUIREMENTS & QUALIFICATIONS
- 1 – 3 years of solicitor experience in a legal environment. Solicitor experience is considered an asset.
- Legal Administrative Assistant certificate or equivalent experience.
- Proficient in Microsoft Word and Outlook, with strong overall technical skills.
- Excellent written and verbal communication abilities, including professional drafting skills.
- Exceptional attention to detail and accuracy.
- Proven ability to manage multiple priorities, meet deadlines, and perform well under pressure.
- Highly organized, reliable, adaptable, and self-motivated with a strong work ethic.
- Ability to work collaboratively within a collegial team.
- Demonstrate sound judgment and discretion when handling confidential and sensitive information.
