Role Overview:
This role is a mix of administrative support, data entry, and day-to-day operational support. You’ll work closely with our team to help keep things organized and running smoothly across the office, leasing activities, and ongoing projects.
This role is well suited for a detail-oriented and proactive individual who is comfortable managing a variety of tasks. You will play a key role in supporting internal processes and helping ensure smooth and efficient day-to-day operations.
Duties and Responsibilities:
- Provide administrative support across day-to-day office operations
- Maintain organized filing systems and ensure all documentation is up to date and easily accessible
- Support administrative tasks including data entry, scheduling, and handling correspondence
- Assist with leasing activities, including conducting showings, responding to inquiries, and coordinating appointments
- Support tenant qualification processes, including application review and document collection
- Coordinate service requests and follow-ups with homeowners, tenants, and site supervisors
- Act as a point of contact for incoming calls, emails, and inquiries, directing them to the appropriate team members
- Prepare, edit, and organize documents, ensuring accurate record-keeping
- Coordinate with internal team members, vendors, and trades as required
- Handle sensitive information with a high level of professionalism and discretion
Qualifications/Education/Preferred Skills:
- Strong customer service skills with the ability to handle inquiries professionally and efficiently
- Highly organized with strong attention to detail
- Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment
- Comfortable using computer systems for administrative tasks; proficiency in Google Suite required
- Familiarity with QuickBooks or similar accounting software is an asset
- Strong written and verbal communication skills
- Ability to work both independently and as part of a team
- Familiarity with general administrative duties such as filing, document management, and scheduling
- Ability to handle sensitive information with a high level of confidentiality
