Office Administrator
About Us
Prairie Fence Inc. is a growing Alberta fencing contractor specializing in agricultural, commercial, and residential fencing. We pride ourselves on delivering quality workmanship, exceptional customer service, and building lasting relationships with our clients.
We are looking for a dependable, organized, and customer-focused Office Administrator to join our team. This full-time position plays an important role in supporting the day-to-day administrative functions of our business while providing excellent customer service.
Responsibilities
- Answer incoming phone calls, take down information for our CRM (Jobber), and respond to customer inquiries
- Communicate with customers regarding invoices, payments, and general inquiries
- Process customer invoices and payments
- Coordinate Alberta One-Call, Abadata, and ground disturbance for jobs
- Prepare job packages and supporting documentation for field crews
- Assist customers with fencing supply sales (phone, online, and in person)
- Maintain organized digital and paper filing systems
- Support management with general administrative duties
Qualifications
- Previous office administration experience preferred
- Excellent communication and customer service skills
- Strong organizational and time management skills
- Professional, dependable, and detail-oriented
- Comfortable learning new software and systems
- Proficient with Microsoft Office (Word, Excel, Outlook)
- Experience with QuickBooks is considered a strong asset
- Construction or trades administration experience is considered an asset
Bonus Assets
Experience with any of the following would be considered an asset:
- Basic bookkeeping
- Jobber or similar field service management software
- Administrative support within the construction or trades industry
What We Offer
- $25.00 per hour (can go up based on experience/capabilities)
- Full-time, permanent employment
- Monday to Friday, 8:00 AM – 4:30 PM (30-minute unpaid lunch)
