Responsibilities
- Coordinate executive-level administrative activities, including schedules, meetings, and communications
- Organize and manage reception and hosting of:
- Headquarters delegations
- External partners, clients, and visitors
- Attend weekly management meetings; prepare professional meeting minutes, summaries, and track action items
- Manage company travel arrangements for staff and executives
- Coordinate cross-functional communication between departments and ensure timely execution of tasks
- Assist the CEO in organizing corporate initiatives, meetings, and strategic projects
- Monitor progress on action items from department managers and ensure timely reporting
- Prepare reports, presentations, and administrative documentation
- Maintain effective communication with international teams and headquarters
- Ensure confidentiality and professionalism in handling sensitive information
- Improve administrative workflows and office efficiency
- Support corporate events, internal meetings, and executive visits
- Maintain office systems, records, and documentation
- Assist with procurement and vendor coordination
- Ensure compliance with company policies and Canadian workplace standards
Skills & Experience:
- Bachelor’s degree in Business Administration or related field preferred
- 3–7+ years of administrative or office management experience
- Strong organizational and multitasking abilities
- Strong communication skills in English; Chinese language skills are considered a strong asset due to regular coordination with overseas operations and stakeholders
- Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
- Ability to work independently in a fast-paced, professional environment
- High level of discretion and professionalism
- Experience in manufacturing, aviation, or international companies
- Experience supporting senior executives or global teams
Pay: $50,000.00-$60,000.00 per year
