The Leasing Coordinator is an junior-level role supporting the day-to-day leasing operations of the residential portfolio within Mirvish Village. This position is responsible for responding to inquiries, assisting prospective tenants through the application process, and preparing lease documentation in accordance with the Ontario Residential Tenancies Act (RTA).
The role is ideal for someone starting a career in property management or leasing who is detail-oriented, customer-focused, and eager to learn Ontario’s regulatory requirements.
Key Responsibilities
Leasing & Prospect Support

Respond promptly to rental inquiries via phone, email, and online platforms

Schedule and conduct property tours (in-person and virtual)

Provide prospective tenants with accurate information on unit availability, rents, deposits, and building amenities

Follow up with prospects to support application completion and lease conversion
Application Processing & Compliance

Assist prospective tenants with completing rental applications

Collect and review required documentation (e.g., identification, income verification, references)

Support screening processes in accordance with company policies and human rights legislation

Ensure all applicant information is handled confidentially and securely
Lease Administration (Ontario RTA Compliance)

Prepare Ontario Standard Lease agreements and related documents

Ensure all lease terms comply with the Residential Tenancies Act, 2006

Clearly explain key lease terms to tenants, including:
- Rent amounts and payment terms

Rent deposit requirements (last month’s rent only, per RTA)

Tenant and landlord rights and responsibilities
-
Maintain complete and accurate leasing files for audit and compliance purposes
Resident Retention and Renewals

Support resident retention initiatives by maintaining positive tenant relationships and delivering a high level of customer service
- Proactively communicate with residents regarding upcoming lease expirations and renewal opportunities
- Assist with preparing and distributing renewal offers and related documentation
- Follow up with residents to encourage lease renewals and minimize vacancy loss
- Track renewal activity, resident feedback, and retention metrics
- Coordinate with property management and operations teams to address resident concerns that may impact retention
Administrative Support

Maintain organized digital and physical tenant records

Update property management systems (e.g., Yardi) with leasing data

Assist with reporting on occupancy, leasing activity, and upcoming vacancies
Qualifications
Education & Experience

High school diploma required; post-secondary education in business, real estate, or a related field is an asset

0–2 years of experience in customer service, administration, retail, or hospitality (property management experience is an asset but not required)
