This is a high-autonomy environment where the work is technically interesting, the pace is rapid, and what you build has a direct environmental impact.The RoleWe are hiring a Proposal Coordinator to establish and take complete ownership of our RFP, RFQ, and RFI pipeline across Canada, the United States, and Mexico. This is a newly created, highly visible role where you will partner closely with Sales, Engineering, and executive leadership to drive high-quality, on-time submissions for municipal, utility, and commercial buyers. This is an entirely hands-on, office-based role ideal for a process-driven coordinator who wants to move away from rigid corporate bid teams, take real ownership of a function, and scale into a strategic leadership role.What You’ll Own
- End-to-End Bid Coordination: Manage the full lifecycle of complex proposals across North American markets, ensuring total compliance with all "shall/must/will" requirements.
- Portal Monitoring & Sourcing: Actively monitor procurement engines (including MERX, Bonfire, CanadaBuys, Bids&Tenders, and SAM.gov) to identify and qualify new opportunities.
- Technical Writing & Synthesis: Translate complex data sheets and engineering inputs into clear, persuasive narratives, executive summaries, and past-performance write-ups.
- Content & Template Architecture: Build, maintain, and modernize our proposal libraries, technical templates, and Salesforce pipeline data tracking systems.
- Cross-Functional Collaboration: Coordinate directly with internal technical Subject Matter Experts (SMEs) and our Grants Lead to align corporate bids with active funding submissions.
- Sales Enablement Support: Maintain absolute CRM hygiene and assist in building standardized collateral to move international commercial deals through the pipeline faster.
What You Bring:
- 3–5 years of dedicated, hands-on experience coordinating and writing technical proposals, RFPs, or public sector bids.
- Direct, practical experience successfully navigating and submitting packages through major public procurement portals (e.g., Bonfire, MERX, SAM.gov).
- Industry adjacency, with a professional background in equipment supply, infrastructure, construction, green energy, utilities, or electrical contracting.
- Impeccable written communication skills, with a proven ability to independently draft professional copy that requires minimal editing.
- Strict compliance discipline and a structured methodology for extracting cross-functional requirements from complex solicitation documents.
- A Bachelor's degree in Business, Communications, Engineering, or a closely related professional field.
Nice to Have:
- Direct experience writing proposals within the cleantech, EVSE, or broader energy infrastructure ecosystem.
- Familiarity with specialized proposal automation software platforms (such as Loopio, Responsive, or RFPIO).
- Deep understanding of US federal procurement guidelines, including FAR, GSA schedules, and registration frameworks.
- Professional working proficiency in Spanish to directly support our emerging Mexico-based commercial opportunities.
