POSITION SUMMARY:
With its commitment to supplying the highest quality and sustainably harvested seafood, Clear Ocean Seafood Ltd. has quickly grown in ten years to successfully position itself as a trusted and consistent supplier to its customers. Due to the fast growth of business, we are opening a Key Account Sales Coordinator position to help manage the increasing sales volume and improve sales productivity.
Reporting to the Sales Manager, the senior sales coordinator contributes to achieving sales goals by supporting sales representatives and coordinating sales-related activities within our company. The job holder will be playing a significant role in building and maintaining firm rapport with customers by acting as an extension of our sales force.

JOB RESPONSIBILITIES:
Own day-to-day execution for key accounts (approx. 70% retail / 30% foodservice distributors) and drive PO/inventory/delivery/sample coordination to keep contract programs running smoothly and customers well-informed. This is not a design role.
- Key Account Execution: Support contracted key accounts with order execution from PO intake to internal coordination and shipment/delivery follow-up.
- Inventory & Replenishment Visibility: Track allocations, procurement/production progress, and on-hand/in-transit inventory—especially retail private label inventory.
- Internal & Customer Updates: Provide accurate, consistent status updates to Sales and customers on inventory, production, deliveries, and next steps.
- Delivery Tracking & Issue Resolution: Monitor lead times and delivery performance; flag risks early (delays, shortages, packaging changes) and propose solutions before escalating.
- Sample Management: Coordinate sample requests end-to-end, track delivery and feedback, and maintain a clear sample pipeline.
- Cross-Functional Coordination: Work closely with Supply Chain, Production, Warehouse, Logistics, and QA to keep key milestones on track.
- Marketing Support (Retail Sales Enablement): Partner with Marketing to coordinate, organize, and share customer-facing materials (product one-pagers, specs, images/packaging visuals, POS/promo materials) and help maintain an accessible asset library (not a graphic design role).
- Tools & Profile: 3+ years in sales coordination / order management / supply chain coordination (food/CPG preferred). Strong Excel/Google Sheets and multi-tasking skills required.
REQUIREMENTS:
· Strong problem-solving skills and ability to produce successful results under pressure
· Excellent attention to detail, understanding of teamwork and willingness to learn
· Post-secondary education in related fields
· Proficiency in English and Mandarin speaking, reading and writing is required for communication with overseas vendors. Other language skills are also valued.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
