Role and Responsibilities
- Arranging meetings to include scheduling, coordination and preparation of Banquet Event Orders (BEOs)
- Meeting room set up/tear down
- Preparing proposals in the CI/TY Marriott system
- Edit, print, and cut menus, place cards, floor plans, etc. for daily events
- Processing all incoming calls, reservations and emails
- Responding to all leads in a professional and timely manner and within 4hr time-frame, as per Brand Standards
- Maintain and order office supplies and sales collateral to ensure that the Office is adequately equipped with necessary items to meet customer needs and its day-to-day operation.
- Conduct in-house site tours for meetings and guest rooms
- Handles meeting room inquiries of 20 people or less and attempt to convert all feasible meetings to bookings to achieve and/or exceed the budget; this includes creating and managing BEOs and meeting room set-ups
- Handles on site client requests for meeting rooms
- Prepares event order sheets and distributes them accordingly do department heads
- Coordinates arrangements for outside services prior to the event (audio visual, catering, etc.) if required
- Coordinates arrangements internally with other departments
- Greets in-house contact on arrival and assures meeting room is set to contact’s satisfaction
- Responsible for maintaining and accurately updating the function book and online database
- Post all meeting charges and ensure clients receive copies of meeting room folios and inquire about meeting follow up & feedback
- Ensure expectation of convener is same as on-site contact
- Conduct satisfaction survey after each group/meeting for feedback, and share with relevant departments.
- Attend weekly events meeting
- Work closely with all departments, especially with Front Desk and Food and Beverage teams
- Completes all training required for position as outlined by Brand Standards
- Lead referrals to other management owned hotels if appropriate
- Reconcile invoices for catering and A/V
- Responsible for providing weekly sales and catering reports
- Other tasks as assigned
Job Requirements
- Minimum one (1) years' experience in hospitality
- Certificate / Degree in Business or Hospitality Management an asset
- Experience/knowledge within the Moncton market is an asset
- Excellent prioritization, organizational, time management and problem-solving skills
- Enthusiastic and self-starting personality with an even disposition
- Excellent computer proficiency (Microsoft Office applications)
- Proficient in English language, both written and oral
- Bilingualism is an asset.
- Must already be legally permitted to work in Canada
Job Types: Part-time, Permanent
Pay: From $16.50 per hour
