Job Title: Manufacturing Administrator
Reports To: Operations Manager
Shift: Monday-Friday, during normal business hours.
Job Summary
The Manufacturing Administrator is responsible for ensuring accurate production and inventory data within the ERP system while supporting product quality and inventory control. Primary responsibilities include entering job hours and material usage, closing work orders, performing cycle counts, and conducting routine quality checks on finished bags.
Essential Duties

Enter, verify, and maintain accurate production, labor, material usage, scrap, and job data within the ERP system, and close jobs promptly to ensure current production and inventory records.

Investigate data discrepancies, follow up with production staff as needed, and escalate unresolved issues to the Manufacturing Supervisor, Operations Manager, or Planning, as appropriate.

Perform routine cycle counts and participate in physical inventories; investigate variances and reconcile inventory discrepancies within the ERP system.

Conduct routine quality inspections of finished goods, document results, and report defects or deviations to the Manufacturing Supervisor or Quality team.

Enter customer orders, process shipments, and ensure completed jobs are forwarded for invoicing through the ERP system.

Monitor inventory levels, report low stock or unusual usage, and communicate with production and planning teams to clarify data and support reporting needs.

Support continuous improvement initiatives related to production data accuracy, inventory control, and quality processes.
Required Skills and Abilities

Strong attention to detail, with the ability to maintain accurate records and documentation in electronic and/or manual systems.

Problem-solving and critical-thinking skills to address routine issues and support continuous improvement efforts.

Proficiency in using applicable computer systems and software, including ERP systems, spreadsheets, and word processing applications relevant to the role.

Strong organizational skills, with the ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.

Ability to analyze information, identify discrepancies, and apply sound judgment to support operational decision-making.

Effective interpersonal and communication skills to collaborate with internal teams and external contacts in a professional manner.

Education and Experience
-
Knowledge of business operations and ERP systems, usually obtained through a 2-year Post-Secondary Diploma or Associate Degree in Business Administration, Operations, or a related discipline, or an equivalent combination of education and experience preferred.

A minimum of one year of related ERP system experience in a manufacturing environment is preferred.

Capability to lift and carry objects of various weights up to 50 pounds occasionally.

Proficiency in using hands, fingers, and arms for tasks such as typing and writing.

Sufficient visual acuity to read documents and recognize details at close and distant ranges.

Ability to hear and understand verbal communication.

Flexibility to bend, stoop, and reach low or high objects.

Ability to perform physically demanding tasks, such as lifting, pushing, pulling, or carrying heavy objects.

Adaptability to work in varying environmental conditions, such as temperature extremes, noise, dust, or fumes, depending on the nature of the job.

Willingness to adhere to safety protocols and wear protective gear, including helmets, goggles, gloves, and safety shoes, as required by the job.
