Under the responsibility of the Assistant Director, Specialized Markets, the Receptionist & Administrative Assistant will be mainly responsible for answering calls and receiving visitors and providing administrative support.
The incumbent is expected to :
- Answer, screen and transfer all incoming calls;
- Welcome visitors;
- Sort and distribute incoming mail and process courier delivery requests;
- Revise and format various documents, such as presentations, charts, memos, letters, general correspondence, etc.;
- Create or edit administrative forms;
- Support the different group insurance plan administration services (validation, data entry, coding, etc.);
- Send monthly back up files to various insurance companies;
- Manage the conference rooms and order meals as needed;
- Ensure follow-up with the building manager;
- Order office supplies;
- Update certain lists (telephone, messaging, etc.);
- Act as resource for maintaining all contracts and due dates;
- Make hotel and transportation reservations for travel or meetings and generate expense accounts;
Perform any other related tasks as requested by the supervisor.

The ideal candidate will have the following qualifications :
- Minimum 2 years of experience in a similar position;
- Experience in group insurance is an asset;
- Excellent communication skills in English, spoken and written;
- Fluency in French is an asset;
- Versatility, resourcefulness and ability to work independently;
- Flexibility, diplomacy and tactfulness;
- Excellent organizational skills;
- Command of Microsoft Office Suite and ability to learn how to use technology tools.
