We are currently seeking a reliable and organized Service Advisor to join our team in Hamilton, Ontario. This position is ideal for someone who thrives in a fast-paced environment, has strong communication skills, and possesses a solid understanding of vehicles, rentals, and customer service operations. Compensation is based on qualifications.
Key Responsibilities:
· Answer customer phone calls, emails, texts, and assist walk-in customers professionally and efficiently.
· Listen to customer concerns and direct them to the appropriate department or individual for resolution.
· Communicate repair updates and notify customers when vehicles are ready for pickup.
· Explain repairs, damages, and service work completed on customer and rental vehicles.
· Coordinate rental vehicle pickups, deliveries, loaners, and spare units.
· Track current and long-term rental/spare units.
· Assist with creating rental agreements and taking vehicle photos when required.
· File, scan, and save rental agreements, fuel cards, and related paperwork.
· Inspect rental units for damages and notify customers of any reported damages or incidents.
· Prepare rental vehicles by ensuring units are serviced, cleaned, fueled, and rental-ready.
· Create and reconcile fuel cards and monitor fuel usage and reporting.
· Cover yard attendant duties when required, including fueling and moving vehicles.
· Handle 407 transponders, billing spreadsheets, and invoice preparation.
· Create work orders and schedule vehicle maintenance and repairs.
· Coordinate service and repairs with third-party shops and dealerships for non-local customers.
· Monitor shop progress and communicate repair priorities with technicians and management.
· Send service calls and coordinate towing services when required.
· Assist customers during vehicle breakdown situations.
· Manage vehicle licensing and registration through ServiceOntario.
· Plate new units, adjust registered weights, renew licensing, and replace ownership documents, plates, and stickers as required.
· Create, replace, and maintain heavy truck document books and emissions scheduling.
· Update and maintain fleet databases and vehicle records using Odoo software.
· Track and document damages, incidents, and repairs with strong attention to detail.
· Work collaboratively with the shop, rental department, and management team to support day-to-day operations.
Qualifications:
· Strong customer service and communication skills.
· Ability to multitask and prioritize in a fast-paced environment.
· General knowledge of vehicles, repairs, and automotive parts.
· Strong organizational skills and attention to detail.
· Comfortable handling scheduling, documentation, and administrative tasks.
· Basic computer skills including Microsoft Word and Excel.
· Experience with fleet management or rental operations is considered an asset.
· Ability to work flexible hours when operationally required.
· G class driver’s license is required.
· Clean drivers abstract is required.
· Familiarity with Odoo, Protractor, ERP or dispatching software is an asset
· 3 years experience is preferred
· Fleet, commercial, automotive or rental industry experience is an asset
