Overview
We are seeking a highly organized and professional Secretary / Administrative Assistant to join our dynamic real estate office. Responsibilities
- Manage and coordinate schedules for agents and clients, including appointments and property showings
- Handle incoming calls, emails, and correspondence with professionalism and efficiency
- Assist with marketing efforts such as creating promotional materials and managing online listings
- Prepare and organize documents related to property transactions, contracts, and negotiations
- Support property management activities by maintaining accurate records and databases
- Facilitate communication between clients, vendors, and internal teams to ensure seamless operations
- Provide exceptional customer service by addressing inquiries promptly and courteously
- Assist with bilingual communication needs to serve diverse clients effectively
- Organize meetings, prepare agendas, and take detailed minutes as needed
Experience
- Prior administrative experience in a real estate or property management setting is preferred
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills, both verbal and written, with an emphasis on professionalism
- Experience with negotiation tactics and marketing strategies related to real estate is advantageous
- Multilingual or bilingual proficiency is highly desirable to support diverse client interactions
- Familiarity with property management software or CRM systems is a plus
- Demonstrated ability to provide outstanding customer service and maintain confidentiality
