What you will be doing:
- Works closely with the Project Managers and the Project Administrative Supervisor to ensure consistency for all project related filing systems;
- Performs a range of administrative duties through all phases of projects, from start-up to close-out;
- Ensure files and documents are prepared and logged with a high level of accuracy and within required timeframes;
- Assists with assembling and preparing documents of a complex nature, i.e. RFIs and Submissions;
- Assists with preparing Purchase Orders, Recommendations of Awards and Change Orders;
- Obtains and assembles project close-out documentation, including drawings, manuals, warranties, and permits;
- Monitors and maintains tracking tools to provide effective reporting of projects for Directors;
- Effectively and accurately communicates discrepancies in project reports with Project Managers;
- Creates, maintains, and ensures the use of Company standard operating procedures and templates;
- Prepares emails and correspondence on behalf of Project Managers;
- All other duties, as assigned.
What you need to bring:
- Minimum 2 years working in an administrative role and office environment;
- Exceptional administrative and organizational skills, including the ability to prioritize workload;
- The ability to multi-task and adapt to an always changing environment;
- Excellent interpersonal, written, and verbal communications skills;
- Comfortable working with technology and proficient in MS Office (Word, Excel, PowerPoint and Outlook);
- Ability to establish and maintain effective working relationships with staff at all levels of the organization;
- Friendly and positive attitude;
- High level of initiative and sense of urgency;
- Attention to detail and time management.

The anticipated salary range for this position is $45,000.00 - $55,000.00 depending on experience. We also provide:
