We are seeking a highly organized, mature, and proactive Office Assistant/Secretary to manage our daily office operations. This is a multi-faceted role in a fast-paced environment. The ideal candidate has strong administrative roots but isn't afraid to roll up their sleeves to ensure the office runs seamlessly.
As the primary point of contact and administrative backbone of the company, you will handle everything from high-level scheduling and invoicing to basic daily upkeep. Experience in the kitchen cabinetry, renovation, or construction industry is highly preferred.
Key Responsibilities
- Administration & Communication: Answer incoming calls, return client inquiries promptly, take detailed messages, and maintain a comprehensive daily log of all office activities and communications.
- Financial Tasks: Handle accurate customer invoicing, track receipts, and perform professional follow-up calls for accounts receivable.
- Software & Digital Support: Manage company calendars and emails using Microsoft Outlook. Maintain and assist with light updates to our business social media platforms.
- Industry Support: Assist with organization and paperwork tied to cabinetry manufacturing, construction projects, and renovations.
- Office Upkeep: Maintain a clean, professional, and organized office environment (including light daily cleaning/tidying of the office space).
Requirements & Qualifications
- Experience: Minimum 5 years of administrative, secretarial, or office management experience.
- Industry Knowledge: Proven experience or strong familiarity with the construction, renovation, or kitchen cabinetry sectors is a major asset.
- Technical Skills: Proficiency in Microsoft Outlook (calendar and email management) and comfortable navigating social media platforms.
- Communication: Exceptional phone etiquette and strong verbal/written communication skills for client follow-ups.
- Licensing: Valid driver’s license and reliable transportation are required.
- Attributes: Self-motivated, highly organized, detail-oriented, and able to work independently with minimal supervision.
