Global Village Calgary is seeking an organized, friendly, and detail-oriented Administrative Coordinator to join our student services team. This is an exciting opportunity to be part of a dynamic private language school in the heart of Calgary, supporting students and staff in a fast-paced, international environment.
Reporting to the Senior Director, the Administrative Coordinator is the first point of contact for students and visitors to the school. A key function of this role is to present a warm, welcoming, and student-friendly first impression — in person, on the phone, and by email.
The successful candidate must currently reside in Calgary, hold a valid Canadian work permit, and be available to begin training in June 2026.
What You’ll Do
Reception & Facility Management
You’ll play a key role in keeping our school running smoothly and feeling welcoming every day by managing supplies, handling front desk responsibilities, responding to inquiries from students, staff and walk-ins, and coordinating with our property manager on maintenance needs. No two days are exactly alike.
Homestay Support
You’ll serve as the main point of contact in Calgary for student questions and concerns about homestay placements, working closely with our Accommodations Manager in Victoria to resolve any issues. You’ll also coordinate arrival and departure transfers, liaise with host families, and conduct home visits as required.
Registration
You’ll support our registration team with student intake, database management, document preparation, payment collection, and responding to inquiries from current students and walk-ins.
General Administration
You’ll assist the Homestay Manager and Head Registrar with additional administrative tasks as needed, liaise with the Senior Director on day-to-day school operations, and serve as a member of the Health & Safety Committee.
What We’re Looking For
- Warm, friendly, and professional communicator across cultures in person, by phone, and by email
- Strong administrative, computer and technology skills, including MS Office (Word, Excel, Publisher), social media, Zoom and Teams
- Excellent attention to detail, numerical accuracy, and situational awareness
- Ability to multi-task and thrive in a fast-paced, dynamic environment
- Sound judgment with strong cross-cultural communication, counselling, negotiation and conflict resolution skills
- Front of house reception experience in hospitality, education, retail or travel an asset
- Excellent oral and written English skills
- First aid certification required; if not already certified, training will be completed at GV’s expense within the first 12 weeks
- Passion for travel, cultural immersion, education, language learning and customer service
- Previous experience living or working abroad an asset
- Must currently reside in Calgary and hold a valid Canadian work permit

Hours: Monday to Friday, 8:00am to 4:30pm with a one-hour lunch break
Compensation & Benefits
Compensation is commensurate with experience. This position is salaried and is eligible for comprehensive benefits upon successful completion of a three-month probationary period.
