We have an intermediate position available for a Document Controller. You will
have the exciting opportunity to work on our asset information management
team. The role involves day-to-day document control responsibilities where you
ensure that all documents meet the formal requirements and standards. You will
ensure that accurate information is distributed to the business stakeholders within
the key performance indicators.
Responsibilities include but are not limited to the following:
- Closely monitor incoming documents to ensure all client standards are strictly followed
- Review project deliverables to ensure documents are received as expected
- Balance time and efforts to support the internal and external teams to ensure all service level agreements are maintained and documents are processed in a timely manner
- Follow up with internal clients (including Engineering and Operations) and external vendors as required
- Ensure client requests are handled professionally and in a timely manner
- Ensure all activities meet internal procedures, guidelines and service levels
- Support team members by being cross-trained for their positions as requested
- Develop, maintain, and improve relationships with key stakeholders and partners within the organization in order to understand their needs and make recommendations on document management program direction
- Protect the integrity and authenticity of controlled documents
Qualifications/Skills:
- Experience with Enterprise Document Management Systems
- Must be legally entitled to work in Canada
- Post-secondary education in information management preferred
- 5+ years’ experience in executing document control activities
- Customer service oriented
- Proven analytical thinking and strategic problem solving – ability to work within existing guidelines and make decisions to keep projects moving forward
- Quick learner
- Exceptional communication skills, sound judgment, and proven attention to detail
- Ability to build and maintain effective working relationships with all levels of staff, stakeholders and external partners
- Understanding of the importance of safeguarding confidential information
- Knowledge of oil and gas operations and business activities is an asset
- Prioritization of work activities according to business needs and ability to meet critical deadlines in a fast-paced environment
- Proficient in Microsoft applications including Outlook, Word, Excel, Access and SharePoint
- Must be able to interpret instructions clearly, ask questions when required and be deadline oriented
- Works well independently (with minimal direction) and in a team environment
