Who we are looking for:
Triple Eight Transport Inc. is seeking a meticulous and detail-oriented Billing and AP Clerk to join our team. The ideal candidate will have a strong understanding of accounting procedures, excellent analytical skills, and the ability to work in a fast-paced environment. The successful candidate will have a high level of accuracy, a proactive approach to problem-solving, and the ability to work both independently and collaboratively within a team.
Key Responsibilities:
- Process and manage daily accounts payable transactions across multiple accounts with a high degree of accuracy.
- Perform invoice validation, coding, and reconciliation in accordance with company policies.
- Manage multi-account AP processing, ensuring proper allocation and timely payments.
- Coordinate with internal teams to verify billing accuracy and resolve discrepancies.
- Handle recurring payments and contractual obligations, ensuring adherence to agreed timelines.
- Perform daily batch validations to ensure completeness and data integrity.
- Manage carrier/vendor payment batches, including review and processing.
- Execute high-volume invoice processing efficiently and accurately.
- Maintain and update financial data in internal systems and portals, particularly during month-end close.
- Support month-end closing activities, including reconciliations and reporting requirements.
- Investigate and resolve invoice discrepancies and payment issues in a timely manner.
- Ensure compliance with internal controls, company policies, and audit requirements.
- Continuously identify opportunities for process improvements and efficiency gains.
- Prepare, review, and issue customer invoices.
- Resolve billing discrepancies and respond to customer inquiries.
- Maintain accurate billing records and support month-end activities.
- Coordinate with customers, vendors, and internal departments to ensure efficient billing processes.
- Perform filing, administrative, and general accounting support duties.
- Assist with additional departmental tasks and projects as required.
Our ideal candidate will possess the following qualifications
- Diploma or degree in Accounting, Finance, or a related field.
- Minimum2–4 years of experience in Billing or Accounts Payable, preferably in a high-volume environment.
- Strong understanding of accounting processes, invoice lifecycle, and payment cycles.
- Intermediate proficiency in Microsoft Excel, including functions such as VLOOKUP, Pivot Tables, data validation, and basic data analysis.
- Planning and organizing including scheduling and prioritizing work tasks to meet deadlines.
- Attention to detail and accuracy.
- Excellent Communication skills- both verbal and written.
- Excellent problem-solving skills- Able to identify problems and implement workable solutions.
- Familiarity with accounting software (e.g., Microsoft Dynamics) is a plus.
- Knowledge of trucking industry an asset
- Must be legally allowed to work full time in Canada.
