Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing clerical support, and ensuring a smooth workflow within the office environment. This role requires excellent communication skills, a strong understanding of administrative functions, and the ability to supervise and coordinate various tasks efficiently.

Key Responsibilities

Welcome and assist guests, visitors, and vendors in a professional and friendly manner
Answer and direct phone calls, emails, and online inquiries
Manage reservations, bookings, and guest communications
Perform guest check-ins and check-outs as required
Handle front desk reception duties and maintain a welcoming office environment
Manage daily office operations and administrative activities
Maintain accurate records, filing systems, and databases
Assist with invoicing, payroll administration, and accounts payable/receivable
Prepare reports, correspondence, and other business documents
Coordinate staff schedules, meetings, and appointments
Order and maintain office supplies and inventory
Support recruitment, onboarding, and employee record management
Liaise with various departments to ensure smooth day-to-day operations
Perform other administrative duties as assigned

Experience

Previous experience in office administration, reception, hospitality, or a related field
Bilingual (English and French) is required
Excellent verbal and written communication skills
Strong customer service and interpersonal skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with reservation systems, bookkeeping, or accounting software is an asset
Strong organizational and multitasking abilities
Ability to work independently and as part of a team
Professional appearance and positive attitude
Strong attention to detail and problem-solving skills
