Job Summary
We are seeking a dedicated and organized Secretary to join our firm. The ideal candidate will be responsible for providing administrative support, managing office tasks, and ensuring smooth communications. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Secretary will serve as the first point of contact for clients and visitors, making a positive impression that reflects our commitment to professionalism. The Secretary will have the opportunity to advance learning, responsibility, and career. We are seeking a candidate with an existing or to be established long term connection to the Salmon Arm area and who is looking for a long term employment opportunity.

Responsibilities

Preparing documents and correspondence.
Manage phone systems and handle incoming calls with professionalism and courtesy.
Provide exceptional customer support by addressing inquiries and resolving issues.
Maintain organized filing systems for documents and records.
Perform data entry tasks accurately and efficiently.
Assist with clerical duties such as scheduling appointments and managing calendars.
Greet visitors at the front desk, ensuring a welcoming environment.
Handling basic financial record keeping as needed.

Requirements

Legal experience is welcome but not essential.
Proven experience in an office environment or similar role is preferred but not essential.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent phone etiquette and communication skills, both verbal and written.
Proficiency in data entry with a keen eye for detail.
Familiarity with office equipment and software applications (e.g., Microsoft Office Suite).
Experience with accounting software (like QuickBooks) is welcome but not mandatory.
Ability to work independently as well as part of a team.
A proactive approach to problem-solving and a willingness to learn new skills.
