Job description:
We are seeking an experienced Executive Assistant with a minimum of 2 years supporting high-level executives, particularly in the education or corporate sectors. The ideal candidate will demonstrate assertiveness, strong leadership qualities, and a proven track record in project management and human resources. The ability to thrive in a fast-paced environment while effectively multitasking is essential. RESPONSIBILITIES
- Provide high-level administrative support to the CEO including managing calendars, scheduling meetings, taking meeting minutes, and delegating tasks to appropriate staff members,
- Prepare and edit correspondence, reports, and presentations for various inter-company departments or external affiliates,
- Conduct research and gather information for various projects and initiatives,
- Coordinate and facilitate internal and external communication, including answering phone calls, responding to emails, and interacting with staff and industry affiliates,
- Maintain employee files and confidential records,
- Assist with financial tasks such as expense tracking, invoicing, and budget management
- Perform data entry and maintain accurate records in various systems
- Assist with event planning and coordination
- Handle sensitive information with discretion and professionalism
- Assist with hiring and training staff and contractors for various brands
-Assist with developing and implementing various policies
- Assist with event management including graduation events, wellness events, and women empowerment events
- Assist with production and posting of social media content alongside with a we series and podcast project
SKILLS AND QUALIFICATIONS
- Proficient and professionalism with phone mannerisms
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously
- Excellent data entry skills with a high level of accuracy and attention to detail
- Exceptional customer service skills to interact effectively with staff, students, instructors and associates,
- Familiarity with general accounting softwares and basic financial tasks,
- Strong clerical skills, including filing, scanning, copying, and organizing documents,
- Experience using electronic forms and signature softwares for document management,
- Proficient in administrative tasks such as scheduling appointments, managing calendars, coordinating meetings and delegating tasks,
- Excellent proofreading skills to ensure accuracy in written communications,
- Proficiency in using Google Suite (Google Drive and Docs, Google Sheets) for document creation, collaboration, and organization
- Familiarization with Canva for graphic design or ability to learn creative software for general art work and creative writing tasks,
- Maintaining and demonstrating self confidence and high professionalism at all times,
- Demonstrating punctuality,
- Must have own vehicle and able to work from the Brampton campus with periodic travel to the Toronto, Waterloo or Ottawa Campuses. Paid travel time provided for Toronto and Waterloo. twice a month. Paid travel and accommodations provided for Ottawa as require quarterly or annually.
