Position Available

Role Title: Executive Assistant

Role Description: We are seeking a highly organized, professional, and proactive Executive Assistant to provide administrative and operational support to senior leadership. The successful candidate will play a key role in ensuring the efficient day-to-day functioning of the office by managing schedules, coordinating communications, and assisting with a variety of administrative tasks and special projects as assigned.

Location: Sudbury

Status: Full-Time

Schedule: Monday to Friday: 8:00am to 5:00pm

Duties & Responsibilities

Provide direct administrative support to executive leadership.
Manage calendars, appointments, meetings, and travel arrangements.
Prepare correspondence, reports, presentations, and other documents.
Coordinate internal and external communications on behalf of executives.
Organize and maintain electronic and physical filing systems.
Assist with meeting preparation, including agendas, minutes, and follow-up actions.
Handle confidential and sensitive information with discretion and professionalism.
Support office operations, including purchasing supplies and coordinating vendors as required.
Assist with human resources, payroll, recruitment, and onboarding administration as assigned.
Coordinate projects and track deadlines to ensure timely completion.
Provide exceptional customer service to employees, clients, and external stakeholders.
Perform general administrative duties and other tasks as assigned to support business operations.
Other duties as assigned.

Qualifications and Skills Requirements

Highschool diploma or equivalent
Previous receptionist, administrative, or customer service experience considered an asset
Strong communication and customer service skills
Excellent organizational skills and multitasking skills
Proficiency with Microsoft Office and comfortable learning new systems
Ability to work independently in a fast-faced office environment
Valid Driver’s licence and clean driver’s abstract
Be bondable

Compensation and Benefits

Annual Salary: $50,000 – $55,000
Benefits: Health Spending Account (HSA)
