Position Summary
Reporting to the Administrator, the Supervisor, Staff Scheduling is responsible for overseeing the scheduling operations of a long-term care home with more than 300 employees. This position ensures the effective allocation of staffing resources to meet resident care needs, operational requirements, collective agreement obligations, and legislative standards.
The Supervisor provides leadership and direction to our team of Ward Clerks who provide scheduling support on a 24/7 basis. Working closely with Human Resources, Nursing Leadership, Payroll, and departmental managers, the Supervisor develops and implements staffing strategies, monitors staffing utilization, coordinates scheduling processes, and ensures the timely and accurate completion of payroll-related scheduling functions.
The role is responsible for supervising, coaching, training, and evaluating Ward Clerk staff, maintaining scheduling system integrity, supporting attendance and return-to-work processes, and serving as the primary resource for staff scheduling inquiries. This position requires strong leadership, organizational, analytical, and communication skills, along with the ability to manage multiple priorities in a fast-paced and highly confidential environment while supporting the delivery of quality resident care.
Key Responsibilities
Staffing and Scheduling Administration-
Oversee the scheduling operations for more than 300 employees to ensure adequate staffing levels and resident care needs are met.

Ensure employee schedules are prepared, completed, and posted accurately and on time in accordance with collective agreements, organizational requirements, and established practices.

Collaborate with Human Resources, Nursing Leadership, Payroll, and departmental managers to identify staffing needs and develop short- and long-term staffing plans.

Provide advice and recommendations regarding staffing utilization, staffing levels, scheduling efficiencies, and future workforce planning needs.

Oversee the scheduling of vacation entitlements, banked time, shift preferences, and modified work schedules.

Provide scheduling and reception coverage as required.
Leadership and Team Supervision-
Supervise a team of Ward Clerks, including onboarding, training, coaching, performance management, corrective action, and professional development.

Foster a collaborative work environment and provide ongoing guidance and support to team members.
Payroll and Records Administration-
Liaise with Payroll personnel and assist with the review and finalization of employee hours worked each pay period.

Ensure standard forms related to scheduling and payroll are completed accurately and in accordance with policies and practices.

Maintain employee scheduling records, system information, and employee profiles, ensuring data integrity and accuracy.
Employee and Department Support-
Serve as the primary contact for employee scheduling inquiries, vacation requests, scheduling concerns, and related matters.

Act as the primary contact for the Nursing Department regarding scheduling discrepancies and related issues.

Liaise with the Health and Safety Manager and/or Human Resources regarding WSIB matters and return-to-work plans.

Maintain confidentiality when handling employee information and scheduling records.
Process Improvement and Compliance-
Review and maintain scheduling procedures and departmental documentation to support efficient operations.

Ensure compliance with applicable legislation, collective agreements, organizational policies, and health and safety requirements.

Participate in management meetings and collaborate with leadership to support operational objectives.
Other Duties-
Perform other related duties and special projects as required to support departmental and organizational objectives.
Qualifications
Education-
Community College diploma or University degree in Business Administration, Human Resources, Finance, or a related field.
Experience-
Minimum three (3) years of experience in a long-term care environment or a related field.

Minimum one (1) year of supervisory or management experience.

Experience with staff scheduling, workforce planning, payroll processes, and collective agreement administration.

Experience supervising, coaching, and developing staff in a fast-paced environment
Knowledge, Skills & Abilities-
Advanced proficiency with Microsoft Office applications, HRIS systems, databases, and scheduling software.

Strong organizational, time management, and prioritization skills.

Excellent analytical, problem-solving, decision-making, and attention-to-detail skills.

Effective verbal and written communication and interpersonal skills.

Ability to manage confidential and sensitive information with discretion and professionalism.

Knowledge of applicable legislation, including the Occupational Health and Safety Act and the Fixing Long-Term Care Act, 2021 and Ontario Regulation 246/22.

Ability to adapt to changing priorities, learn new technologies, and support continuous process improvement.

Demonstrated leadership skills with the ability to motivate, coach, and support team members.
Other Requirements-
Valid Ontario Class “G” driver’s licence and access to a personal vehicle

You will be required to provide a satisfactory Vulnerable Sector Check that has been obtained within the past six (6) months, as required by the Long-term care home act

Proof of a negative 2 Step TB test result along with a one-step negative result from within the last 2 (two) months, as required by the Long-term care home act
What We Offer-
Hours of Work: 40 hours per week

Compensation Range: Band 4 - $89,410.00 to $109,772.00
