Position Overview

We are seeking an experienced and highly organized Accounts Payable Manager to oversee our accounts payable function and ensure the accurate and timely processing of vendor invoices, vendor payments, and related financial transactions.

The successful candidate will be a team player and have strong leadership and problem-solving skills, excellent attention to detail, excellent customer service skills, and experience working in a fast-paced environment. Construction industry experience is considered a strong asset.

Key Responsibilities

Manage the day-to-day operations of the Accounts Payable department.
Supervise, train, and support Accounts Payable staff.
Oversee the accurate and timely processing of vendor and subcontractor invoices.
Review invoices for appropriate approvals, coding, purchase orders, and supporting documentation.
Ensure costs are accurately allocated to projects, jobs, cost codes, departments, and general ledger accounts.
Coordinate weekly and scheduled payment runs, including EFTs, cheques, and other electronic payments.
Review vendor statements and ensure discrepancies and outstanding items are resolved promptly.
Maintain accurate vendor records and ensure appropriate documentation is obtained for new vendors.
Respond to vendor and internal inquiries regarding invoices and payment status.
Monitor accounts payable aging and outstanding liabilities.
Assist with subcontractor payment documentation and compliance requirements.
Ensure appropriate internal controls and authorization procedures are followed. Support month-end and year-end closing processes, including AP reconciliations and accruals.
Prepare reports and documentation for management, auditors, and other departments.
Work closely with Project Managers, Operations, Purchasing, Payroll, and Accounting personnel to resolve invoice and job-costing issues.
Identify opportunities to improve AP processes, controls, efficiency, and accuracy.
Maintain organized electronic and physical accounting records.
Perform other accounting and administrative duties as required.

Qualifications

Minimum 5 years of progressive Accounts Payable or accounting experience, with previous supervisory or management experience preferred.
Construction industry experience is strongly preferred.
Experience dealing with vendors and excellent customer service to develop and maintain positive relationships with our high value vendors
Diploma or certificate in Accounting, Business Administration, Finance, or a related field is an asset.
Strong understanding of accounts payable procedures, general ledger coding, reconciliations, and internal controls.
Experience with job costing and construction accounting is a strong asset.
Experience working with Tipalti is considered a strong asset
Strong computer skills, including Microsoft Excel and accounting/ERP software.
Excellent organizational and time-management skills.
Strong attention to detail and commitment to accuracy.
Ability to manage multiple priorities and meet strict deadlines.
Strong written and verbal communication skills.
Demonstrated ability to lead, coach, and develop employees.
Ability to maintain confidentiality and exercise sound judgment when handling financial information.
