Role Overview
We are seeking a highly organized, tech-savvy Inside Sales & Bid Coordinator to lead our proactive procurement and bidding pipeline. In this internal role, you will be the absolute owner of our project intelligence and tendering platforms—including ConstructConnect, CanadaBuys, BC Bid, SAP Ariba, and Euna (Bonfire).
Your primary mission is to ensure no viable commercial or public sector opportunity slips through the cracks. You will handle the entire lifecycle: configuring automated portal alerts, extracting project specs, executing high-volume bidding, leveraging internal AI tools for maximum workflow speed, converting won opportunities into Sales Orders within NetSuite, and building lasting relationships with estimators and project managers.
Key Responsibilities
Portal & Notification Management:
- Register, maintain, and fully optimize corporate profiles across all major public procurement portals (Federal, Provincial, Municipal) and private networks (ConstructConnect).
- Establish precise keyword filters, category tags, and notification rules to catch live bidding opportunities for our product lines the moment they drop.
- High-Efficiency Bid & Quote Submission:
- Review daily project alerts, engineering drawings, and tender specifications to determine product alignment.
- Generate and submit accurate, competitive quotes across a wide variety of disparate digital procurement workflows.
- Integrate internal AI tools to summarize complex request for proposal (RFP) parameters, automate repetitive text generation, and accelerate the submission rate.
- NetSuite Operations & Order Processing:
- Manage data entry with high accuracy, keeping our CRM (Netsuite) and pipeline metrics up to date.
- Convert successful quotes into formal Sales Orders (SOs) within NetSuite, cross-verifying lead times, shipping requirements, and contractual pricing details.
- B2B Relationship & Account Building:
- Act as the core internal point of contact for contractors, procurement officials, and institutional clients.
- Proactively follow up on submitted quotes to track win/loss analytics, gather market intelligence, and turn one-time project wins into long-term accounts.
Core Qualifications & Experience
- Tendering Platforms: Direct experience with ConstructConnect, CanadaBuys, Euna (Bonfire), BC Bid, SAP Ariba
- Advanced Digital Literacy: Exceptional comfort switching between multiple user interfaces, databases, and digital bid boards daily.
- ERP Experience: Proven hands-on experience navigating enterprise software—NetSuite experience is highly valued.
- AI & Workflow Automation Mindset: Comfort leveraging modern AI tools (e.g., text-generation, data-extraction, or custom prompt tools) to supercharge personal output and shorten quoting cycles.
- Industry Familiarity: 2+ years of experience in bid coordination, estimating support, procurement, or B2B inside sales—ideally interacting with commercial construction, municipal infrastructure, or industrial manufacturing sectors.
- Execution & Accuracy: A methodical approach to managing overlapping deadlines. You must have an eye for fine print while maintaining the speed required to action high-volume RFQs.

Pay: $60,000.00-$70,000.00 per year
