Established in 1937, Baker Newby LLP is one of the largest law firms in the Fraser Valley with offices in Chilliwack and Abbotsford. Our Abbotsford office presently has an opening for a Receptionist/Jr. Legal Assistant. Hours of work are 8:30 am to 5:00 pm Monday to Friday.
An ongoing and important part of the position will be acting as the office’s “Secondary” Receptionist, operating our multi-line switchboard, greeting and directing clients and service providers, distribution of incoming mail and faxes, coordinating couriers and deliveries, and meeting room preparation and tidying.
On a daily basis you would be covering for our full-time Receptionist while she is on lunch, or attending to other daily Operations matters running business errands for the Firm. This could occupy up to half of the day on busy days, but much less on others. Full-time Reception coverage will also be required for scheduled vacation coverage or unexpected absences.
When not providing Reception coverage, the scope of duties will include, but are not limited to:
- Initial filing opening, and closing upon its completion
- Preparing, editing and finalizing bills and sending final bills to the client;
- Following up with outstanding accounts;
- Printing and tabbing closing documents for in person signature;
- Finalizing estate planning documents;
- Preparing reporting letters for estate planning files;
- Filing Wills Notices;
- Conducting simple land title and PPR searches ;
- Saving documents to the electronic files;
- Filing documents in physical folders;
In time, further training may be provided on other legal administrative functions, so that you will be able to assist senior legal assistants with other day-to-day activities in running a legal matter.
The ideal candidate must possess a strong sense of professionalism, strong interpersonal skills, and poise and etiquette, to be one of our front-desk ambassadors serving the public. Law firm or other professional services firm reception experience will be considered an asset.
