Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will bring enthusiasm, organizational prowess, and a proactive attitude to manage financial records, provide exceptional customer service, and support office functions. Responsibilities

Manage and maintain accurate financial records using Sage 50.
Perform data entry for invoices, payments, receipts, and expense reports with precision and attention to detail
Handle clerical tasks such as filing, photocopying, scanning documents, and organizing electronic files
Support front desk operations including greeting visitors, answering multi-line phone systems, and providing excellent customer service
Assist with appointment scheduling, calendar management, and correspondence via Microsoft Office and Google Workspace tools
Conduct proofreading of documents for accuracy and clarity before distribution
Provide general administrative support including organizing supplies, managing mail distribution, and supporting team members as needed

Qualifications

Proven experience with bookkeeping software such as Sage 50, Quickbooks or similar platforms
Strong office experience with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Excellent computer skills with the ability to perform data entry efficiently and accurately
Previous clerical or administrative experience with a focus on organization and multitasking
Exceptional customer service skills with professional phone etiquette and experience handling multi-line phone systems
Familiarity with medical or dental office procedures is a plus; dental receptionist or dental office experience is highly desirable
Knowledge of filing systems, proofreading techniques, and basic bookkeeping principles
Strong organizational skills with the ability to prioritize tasks effectively and meet deadlines
Typing speed of at least 50 words per minute with high accuracy
