We are seeking a motivated, organized, and experienced Human Resources & Scheduling Coordinator to join our team. This is a key role that sits at the heart of our operations, ensuring our clients receive consistent, high-quality care and our PSWs are supported effectively.
Role Summary
The Human Resources & Scheduling Coordinator is responsible for managing PSW shift scheduling, supporting HR functions, maintaining client and PSW records, handling insurance documentation, managing company communications, and performing general administrative and accounting duties. The ideal candidate brings a solid background in the health or home care industry and thrives in a fast-paced, people-focused environment.
Key Responsibilities
Scheduling & Operations
- Prepare, manage, and maintain PSW shift schedules on an ongoing basis
- Coordinate and confirm shift assignments with PSWs and clients
- Monitor shift coverage and proactively resolve scheduling gaps or conflicts
- Follow up regularly with clients and PSWs to ensure service satisfaction and continuity of care
Human Resources
- Support end-to-end HR functions including recruitment, onboarding, and employee records management
- Maintain up-to-date personnel files for all PSWs and staff
- Process HR-related documentation and ensure compliance with company policies
- Assist with performance tracking and employee relations as directed by management
- Use ADP software (or demonstrate ability to learn it quickly) for payroll and HR administration
Client & Insurance Management
- Maintain accurate and up-to-date records for all clients and PSWs
- Understand and manage insurance-related processes, including preparing and submitting required documents when necessary
- Follow up on insurance claims and correspondence in a timely and organized manner
Administration & Communications
- Manage and respond to company emails and other communications in a professional and timely manner
- Act as the primary point of contact for day-to-day internal and external administrative inquiries
- Perform basic bookkeeping and accounting tasks including maintaining financial records and tracking expenses
- Prepare reports, logs, and documentation as required by management
- Ensure smooth day-to-day administrative operations of the office
Qualifications & Requirements
Mandatory:
- healthcare or home care industry (MANDATORY)Minimum 3 years of work experience in the
- Demonstrated knowledge of the home care, PSW, or health services sector
Skills & Experience:
- Experience in HR coordination, scheduling, or office administration
- Proficiency in ADP software, or demonstrated ability to learn new software quickly
- Basic accounting and bookkeeping knowledge
- Strong organizational and time-management skills with attention to detail
- Excellent written and verbal communication skills in English
- Ability to manage multiple priorities and work independently in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Knowledge of insurance documentation and submission processes is a strong asset
