Position Overview
We are seeking a highly motivated, energetic, and disciplined Customer Service Officer with a strong background in graphic design and print coordination to join our team on-site at our Mississauga location.
In this dual-capability role, you will serve as the key bridge between our clients, sales team, and production operations—managing the full order lifecycle from initial estimation, outbound customer touchpoints, and proofing through to delivery coordination, quality documentation, and financial handoffs.
Key Responsibilities
Customer Service & Order Coordination
- Outbound Order Generation: Proactively call existing and prospective customers to follow up, build rapport, and secure incoming orders.
- Estimating & Order Entry: Prepare accurate job estimates and convert approved quotes into detailed Production tickets.
- Client Communication: Issue official Order Confirmations to customers, respond to inquiries, provide proactive status updates, and manage feedback.
- Logistics & Delivery: Oversee packing slip creation and coordinate shipping/delivery with internal drivers and third-party transport providers.
- POD & Accounts Handoff: Follow up directly with drivers and third-party carriers to obtain Proof of Delivery (POD) documentation and promptly provide it to the Accounts department for invoicing.
- Quality & NCR Management: Maintain a log of Non-Conformance Reports (NCR) for customer complaints within Labeltraxx to support ongoing quality management and process improvement.
- File Maintenance & Quality Compliance: Maintain organized customer account files and order specifications, ensuring job tickets are properly closed out and archived for easy retrieval in accordance with company quality program standards.
Graphic Design & Pre-press Support
- Artwork Preflight & Design: Review client-submitted artwork for layout, resolution, color specs, and print readiness using Adobe Creative Suite and Canva.
- Proofing Management: Generate art proofs and manage the artwork proof approval process with clients.
- Pre-press Scheduling: Update and manage the pre-press schedule to keep prepress workflows aligned with production timelines.
- Tooling Coordination: Coordinate the ordering and preparation of required print tooling, including printing plates and cutting dies.
Qualifications & Skills
Required Experience & Skills
- Industry Experience: Proven customer service, order entry, or prepress experience within the printing or packaging industry.
- Graphic Design Tools: Proficiency in Adobe Creative Suite (Illustrator, Photoshop, InDesign) and Canva.
- Print Technical Knowledge: Thorough understanding of prepress workflows, artwork specs (bleeds, die lines, color management), and tooling (plates and dies).
- Communication & Feedback: Exceptional written and verbal communication skills; clear, professional, and confident on the phone with clients.
Preferred / Bonus Skills
- Hands-on experience or familiarity with Label Traxx print management software is a strong asset.
