About Us
Loyalty Markets runs self-serve micro-markets, smart fridges and vending across more than 200 customer sites in Ontario. We're part of Workplace Refreshments Group, which also includes Heather's Kitchen (our fresh food production) and SnackHub. About 60 people. Warehouse, routes, kitchen, and a lot of machines in the field generating a lot of transactions.
We are not a slow, corporate office. We're builders who love the study of business, and we're growing fast enough that the ledger has to keep up. We're looking for a sharp, practical accounting professional to own our daily ledger execution.
The Role
This is a hands-on, tactical role for someone who enjoys full-cycle transactional work, thinks in operational logic, and wants to step into a leadership capacity.
You report to our fractional Controller, with direct access to the CEO. You'll own day-to-day transaction processing and ledger hygiene, and you'll supervise our AR/AP clerk.
The volume is real. Card readers, kiosks and POS terminals across 200+ sites generate thousands of transactions a week that have to settle cleanly into QuickBooks Online. Your job is to make sure they do — and to build the person under you into someone who can carry half of it.
Key Responsibilities
Team supervision and development. Oversee, train and review the daily output of our AR/AP clerk — data entry, document matching, basic reconciliations — accurate and on schedule.
High-volume transaction processing. Post daily bank transactions and cross-verify card and digital deposits from our POS and vending platforms against the bank feeds.
Weekly revenue reconciliation. Match sales data exported from our vending and micro-market platforms (Cantaloupe Seed) against QuickBooks Online, and run the system audits that catch what didn't match.
Build the reconciliation instead of doing it by hand. We use Claude to move and match data between systems. You'll use it to build repeatable workflows that replace manual matching — Seed exports to QBO, deposit matching, variance flags. We'll teach you the tooling. You bring the willingness to stop doing things manually.
Escalated AR and AP. Drive collections velocity and vendor payment strategy. Handle the complex customer accounts, resolve vendor discrepancies, and oversee customer onboarding.
Inventory and margin auditing. Work with the warehouse and ops teams to verify monthly physical counts against the ledger, find margin leaks, and correct variances.
Month-end, HST and WSIB. Book month-end journal entries, run GL reconciliations, prepare HST returns, compile WSIB filings, and prepare clean working papers for year-end.
Payment administration. Queue and manage vendor payables through our spend management platform, with tight controls before executive authorization.
Audit support. Support the year-end review process.
What You Need
Full-cycle accounting. 3+ years using QuickBooks Online in a product-margin business — route logistics, retail, wholesale distribution, food service, or similar. You've owned a close, not one slice of one.
Leadership aptitude. You've trained, mentored and reviewed the work of junior accounting or admin staff — or you clearly could, and want to.
Spreadsheet mechanics. Strong Excel. If you can't build a lookup-and-match across two messy exports, this role will frustrate you.
Technical aptitude. Almost nobody arrives knowing Cantaloupe Seed or our warehouse systems. You need to be the kind of person who learns an unfamiliar interface fast and without a manual.
Operator mindset. You've worked somewhere under 100 people where you saw how the business actually made money. You value execution speed over meetings.
