KH/Dunkley Law Group is a leading law firm with lawyers practising all aspects of real estate law, offering comprehensive legal services to a diverse range of clients, including builders, first-time home buyers, and private lenders. We are seeking an energetic and enthusiastic person to join our team as a Legal Assistant. We will provide on-the-job training and opportunities to grow within our firm over time. The ideal candidate will have an interest in real estate transactions and a passion for providing exceptional support in real estate legal matters.
Position Overview
In this role, your primary responsibility will be processing new files, and conducting critical tax, title, and corporate searches. Additionally, as a vital prt of our administrative team, you will provide crucial backup support to our front desk, helping with phone management and covering for our receptionist during peak times or vacations.
Specific Duties as a Legal Assistant will include, but are not limited to:
Legal Administration & File Opening:
· File Opening: Manage the end-to-end intake process for new real estate and corporate files, ensuring all data is accurately entered into our conveyancing/firm management software.
· Property & Tax Searches: Conduct thorough municipal tax searches, corporate registry searches, and litigation searches.
· Title Searches: Pull and review land title searches, identifying any initial encumbrances, liens, or certificates of pending litigation.
· Conflict Checks: Run comprehensive conflict-of-interest checks prior to file opening.
· Phones: Answering phones and assisting clients with meetings.
Reception & Desk Support:
- Front Desk Backup: Answer incoming phone calls and route them to the appropriate team member when call volumes are high.
- Coverage: Act as the primary coverage for the front reception desk during the receptionist's breaks and vacation days.
- Client Service: Greet clients warmly, manage incoming/outgoing couriers, and assist with basic administrative tasks (sorting mail, scanning, copying) when supporting the front desk.
- Filing and Scanning: Scanning files and documents, assisting in sending reports to clients, as needed.
Marketing and Event Coordination:
· Firm Events: Assist in planning, scheduling, and coordinating internal and client-facing firm events (e.g., networking mixers, seasonal parties, community outreach).
· Social Media Support: Assist with the firm’s social media presence (e.g., LinkedIn, Instagram) by helping schedule posts, draft updates, and spotlight firm milestones or new hires.
· Promotional Materials: Prepare, format, and organize promotional materials, firm brochures, presentation slide decks, and corporate branded swag.
Our ideal candidate can succeed working independently and in a collaborative team environment and has the ability to interact with clients over the phone and in person. Strong attention to detail, excellent time management and communication skills, and an eagerness to learn are imperative to success in this role.
Minimum Requirements:
· Minimum of one (1) year of experience in a receptionist/legal assistant position
· Proficiency with Microsoft Office products, including but not limited to Outlook and Word
· High attention to detail and strong organizational skills
· Enjoys working in a fast-paced environment
· Fast and accurate typing skills
· Exceptional verbal and written communication skills with a professional, welcoming telephone manner
Preferred Qualifications:
· Paralegal/Legal Assistant Diploma from a recognized institution
· Experience in a law firm setting
· Experience using document preparation software such as Leap, Spin II, and Unity
· Familiarity with land titles registries, corporate registries, and municipal tax portals
· Experience with social media and marketing
