The Student Accessibility Services Team in Student Experience and Support is currently seeking a Full-time Regular Exam Coordinator.
Student Accessibility Services works with the campus community to create an accessible, equitable, and supportive learning environment that enhances each student¿s academic and personal development. The Exam Coordinator will report to the Manager, SAS Exam Centre and will support the daily operations of the SAS Exam Centre. Working within a framework of established policies and procedures, the incumbent uses a high degree of initiative and independent judgment to coordinate workflow, address non-routine operational issues, and ensure accuracy and service continuity.
The SAS Exam Centre ensures that students with disabilities are provided approved and appropriate accommodation for writing course-based exams and tests. The Exam Coordinator must be familiar with duty to accommodate legislation and the university¿s Accommodation Policy and Procedures for students with disabilities.
Working collaboratively with minimal supervision in a team environment, the Exam Coordinator must exercise independence, tact and diplomacy while dealing with students, instructors and support staff. Strong communication skills and sound judgment must be demonstrated in person, on the telephone and via email. The Exam Centre works with technology to meet the needs of students requiring accommodation, and staff must be comfortable in working with a variety of technologies and formats.
The role is responsible for responding to real-time exam delivery issues and maintaining service standards during operations, requiring immediate decisions.
This position typically works 35 hours a week on an evening schedule 1230pm-830pm, shifting to later during final exam periods. This position may also require overtime (ie. Saturday shifts during mid-term and final exam periods) during the Fall and Winter semesters.
Summary of Key Responsibilities (job functions include but are not limited to):
Administrative Coordination

Coordinates operations of the SAS Exam Centre, independently prioritizing workflow, reallocating tasks, and adjusting staffing and room resources to maintain timely and equitable delivery of accommodated exams.

Coordinates and tracks proctor training.

Serve as the evening team lead for exam support and exam administration staff by exercising sound judgment, providing clear direction, and ensuring consistent adherence to policies and procedures during urgent situations, including medical incidents, academic misconduct cases, and student concerns.

Ensures continuity and quality of service operations by acting as the primary on-site contact, making real-time operational decisions in the absence of the manager to address service disruptions and maintain exam centre standards.
Exam Administration
-
Respond courteously and accurately to student and faculty inquiries about testing procedures and accommodated exams.

Understand required accommodations for each exam and ensures students receive the appropriate accommodations
-
Responsible for receiving, booking , processing and scheduling individual student exams using the Clockwork database.

Communicate with course instructors regarding upcoming exams, testing requirements and resources.

Invigilate exams to students writing at the Exam Centre and other locations.
-
Use Clockwork to determine if accommodation letters were released and email notification sent to instructors.

Work closely with Manager to track statistical data related to the provision of accommodated exams.

When the Manager is unavailable, resolve exam discrepancies and proctoring concerns in a fair and equitable manner, reporting any serious discrepancies to Director, Student Accessbility Services.

Provides accurate and timely information with a strong understanding of the high impact of providing erroneous information.

Follow established University and Exam Centre procedures to respond to immediate health issues, physical, emotional or other student concerns occurring at the Exam Centre.

Maintain a high level of confidentiality with sensitive student information.

Prepare exams and other test materials in alternate formats (ie. electronic format, large print) or using testing tools (ie. RStudio, ExamSoft, Impero).

Handle front-line concerns with tact and diplomacy; document unresolved student and instructor concerns and report them to the Manager in a timely and respectful manner.

Update and generate reports such as accommodation queries for instructors.

Set up, takedown and transport of exam materials to additional exam spaces (note this can require walking across campus with up to 10lbs of materials).

Contributes to the improvement of exam centre procedures by identifying workflow inefficiencies, documenting recurring operational issues, and recommending practical changes to strengthen service delivery, compliance, and consistency.
Qualifications / Requirements:

Undergraduate degree is preferred or an equivalent combination of post-secondary education and experience.

Highly developed organizational and communication skills, and an ability to anticipate needs, plan, and perform work efficiently with minimal direction is essential.

Demonstrated professionalism, discretion, courtesy and respect in all interactions with students, staff and external clients, including handling situations that include complex, sensitive and confidential issues.

Capability to adjust work schedules to meet multiple demands and pressures and work with many interruptions, changing work plans and priorities to accommodate needs of students and staff.

Experience scheduling part-time casual staff to meet shifting demands in a customer services setting is preferred.

Experience coaching or training others to meet shared team goals is essential.

Experience working with databases as well as a strong understanding of Microsoft Office Suite (Excel, Access and Word) is essential.

Experience maintaining the security of the sensitive records, following established protocols and processes.

Thorough knowledge of Student Accessibility Services, University policy and procedure related to students with disabilities, and academic integrity policy is preferred.

Familiarity with adaptive technology, including text-to-speech, speech-to-text, and digital magnification is preferred.

Experience working with post-secondary students with disabilities is an asset.
