About Us

We are a Calgary CPA practice serving owner-managed businesses. This position is employed by our firm and works full time on the accounts of one of our clients, a construction contractor operating in Calgary and area.

About the Role

We are hiring a bookkeeper to keep one construction client's day-to-day accounting accurate and current. You will be responsible for accounts payable, accounts receivable, payroll preparation, job costing, and account reconciliations.

You work from our office, not the client's. Your day-to-day priorities come from the client's owner. Your employment, your professional development, and everything to do with the office come from us.

You will maintain the books and prepare the underlying reconciliations and schedules. Financial statement preparation, corporate tax filings, and year-end accounting adjustments are handled by the client's owner together with our firm. This is a defined role with clear boundaries, not a controller position.

The goal of the job is straightforward. Transactions are entered promptly, accounts are reconciled, invoices and payroll go out on schedule, supporting documents can be found when someone asks for them, and the books are ready for review each month.

Knowledge of construction accounting is an asset. Job costing, progress billing, and holdbacks understanding is also an asset.

Key Responsibilities

Accounts payable and receivable

Enter and code supplier and subcontractor invoices, reconcile statements, and prepare payment runs for the client owner's approval and release
Prepare and issue customer invoices, including progress invoices, and maintain the accounts receivable aging
Track customer deposits, approved change orders, and holdbacks
Chase missing receipts, invoices, and supporting documentation

Payroll

Review timesheets and prepare payroll for the client owner's authorization
Maintain employee records and prepare records of employment

Job costing and subcontractors

Code labour, materials, subcontractors, and other direct costs to the correct jobs and cost categories, and review job cost reports for coding errors or missing costs
Confirm a current WCB clearance letter is on file before subcontractor payments are released, and maintain subcontractor records including GST registration information
Track subcontractor holdbacks and compile annual payment totals for T5018 reporting

Reconciliation, records, and remittances

Reconcile bank, credit card, and loan accounts monthly, keep supporting documents organized
Prepare GST returns and payroll source deduction remittance calculations for review and authorization, and prepare schedules for the year-end file

Other

General office administration, and assistance with other bookkeeping work in our office when the client's workload allows. The client's work has the first call on your time

Qualifications

Required

Two or more years of bookkeeping experience, including accounts payable, accounts receivable, payroll, and account reconciliations. Candidates with less experience but a strong accounting or payroll education will be considered at the entry level of the range, with training provided.
Proficiency in QuickBooks Online/QuickBooks Desktop
Comfortable using Excel for reconciliations and schedules, including filters, sorting, basic formulas, and lookups
Familiarity with GST, payroll source deductions, and WCB reporting in Alberta
Ability to manage recurring deadlines and maintain accurate records without continuous supervision
Able to identify discrepancies and follow them through to resolution
Clear written and verbal communication when dealing with suppliers, subcontractors, customers, and employees
Comfortable asking questions rather than guessing
Able to work to one client's priorities while following our office's professional and confidentiality standards

Preferred

Experience in a construction, trades, or project-based business
Exposure to job costing, progress billing, or holdbacks
Experience with job costing
Accounting or payroll certificate or diploma

Additional Information

This position involves access to confidential information for clients of the firm. The successful candidate will complete a criminal record check and sign a confidentiality agreement covering all firm clients, and will sign a written employment agreement
