Job Summary

We are seeking a dynamic and highly organized Administrative Coordinator to join our team! In this vital role, you will serve as the backbone of our administrative operations, ensuring smooth daily functions and providing exceptional support across departments. Your proactive approach, strong organizational skills, and attention to detail will help foster an efficient, welcoming environment. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a collaborative and energetic workplace.

Responsibilities:

The Administrative Coordinator reports to Executive Management.

- Serve as the first point of contact for customers, suppliers, and visitors by answering incoming calls, directing inquiries, and providing professional customer service.

- Provide administrative support to Sales, Engineering, Purchasing, Production, and the Accounting departments.

- Process and maintain accurate information within the company ERP system, including sales orders, work orders, assembly orders, and related documentation.

- Create, issue, and maintain production documentation to support manufacturing activities.

- Assist with the administration and tracking of assembly orders to ensure accurate information flow between departments.

- Prepare and process sales invoices and supporting documentation.

- Assist the Sales team with customer inquiries, order status updates, and basic inside sales activities.

- Maintain accurate customer, vendor, and item information within company systems.

- Support new employee onboarding by preparing and maintaining required documentation.

- Assist with general office administration, including document management, filing, reporting, and record maintenance.

- Coordinate communication between departments to ensure information is accurate, timely, and effectively shared.

- Identify administrative process improvements and support initiatives that improve operational efficiency.

- Perform other administrative duties and special projects as required.

Requirements

- Excellent written and verbal communication skills

- Outstanding organization and time management skills

- Strong computer skills, including Microsoft Office (Outlook, Word & Excel)

- Strong problem solving and critical thinking skills

- Ability to anticipate production requirements and determine which items are most critical to the manufacturing process

- Comfortable working in a fast-paced manufacturing environment with changing priorities

- Basic accounting or invoicing experience

- Experience in Microsoft Business Central would be an asset
