Position Overview
The Secretary is responsible for managing day-to-day administrative, financial, and operational processes. This includes overseeing documentation, ensuring compliance with government requirements, coordinating project flow, and maintaining accurate records across systems like Job Progress, Leap, and Google Workspace.
This person is the organizational backbone of Goliath Roofing — dependable, accountable, and solutions-oriented.
Key ResponsibilitiesAdministrative & Operational Support
- Maintain organized digital and physical filing systems for contracts, permits, safety records, and vendor documentation.
- Ensure company systems (Job Progress, Leap, Google Drive) are standardized and up to date.
- Manage vendor relationships, office supplies, and company vehicle/equipment records.
- Coordinate yearly registrations for CVOR, company vehicle licensing, and monitor all permits and licenses for compliance.
- Support scheduling and communication between sales, production, and field teams.
Financial Administration
- Record and reconcile all customer payments in Job Progress.
- Perform month-end reconciliations for bank accounts and company credit cards.
- Complete year-end reporting and provide documentation to the external accountant.
- Manage government remittances including PD7A, HST/GST, and WSIB submissions.
- Process bi-weekly and weekly payroll accurately and on time.
- Pay subcontractors and vendors in accordance with company policies.
- Follow procedures for special payroll deductions and ensure remittances are submitted to the correct destination.
- Track accounts receivable, verify invoices, and maintain purchase order accuracy.
- Assist leadership with budget tracking, financial summaries, and cash flow reporting.
Human Resources & Safety
- Manage onboarding/offboarding documentation for employees and subcontractors.
- Maintain employee certifications (Working at Heights, WHMIS, etc.) and ensure compliance with Ministry of Labour standards.
- Record attendance, vacation, and time-off requests.
- Support WSIB documentation, incident reports, and safety audits.
- Create written employee notices, disciplinary actions.
- Knowledge of Supplementary Benefit plan
Customer Service & Coordination
- Respond to customer inquiries professionally and efficiently.
- Communicate job schedules, material deliveries, and production updates.
- Manage service and warranty requests through Job Progress.
- Support reputation management by encouraging customer feedback and reviews.
- Answer phone and emails.
Process Improvement
- Develop and maintain Standard Operating Procedures (SOPs) for administrative and financial processes.
- Identify workflow bottlenecks and implement efficiency improvements.
- Support leadership with reporting dashboards and operational insights.

- Year-end package ready for accountant without outstanding documentation.
- Operational Coordination:
- All job files are verified and complete before scheduling.
- Effective communication between office, production, and customers.
- Safety & HR Compliance:
- Employee files current with certifications and safety documentation.
- WSIB, Ministry, and internal safety requirements fully met.
- Continuous Improvement:
- Documented SOPs for all recurring tasks.
- Reduction in administrative delays and improved workflow efficiency.

Knowledge & Skills
- 3–5 years of experience in Secretary, bookkeeping, or administrative coordination, preferably in construction or roofing.
- Strong understanding of payroll, HST/GST remittance, WSIB, and PD7A reporting.
- Experience performing bank reconciliations, vendor payments, and year-end prep for accountants.
- Proficiency in Job Progress, Leap, Google Workspace, and accounting software (e.g., QuickBooks or similar).
- Knowledge of CVOR registration and vehicle licensing compliance (asset).
- Strong interpersonal and written communication skills.
