The Town of Cochrane is looking for an organized, customer-focused, and detail-oriented Administrative Assistant to join our Solid Waste & Stormwater team. This role provides essential administrative support to a dynamic group dedicated to delivering waste, recycling, environmental, and utility services that contribute to a clean, sustainable, and thriving community.

What You'll Do
Reporting to the Manager, Solid Waste & Stormwater, you will provide administrative, clerical, and customer service support to the Solid Waste & Stormwater section and the broader Utilities team as required.
Key responsibilities include:
- Acting as the first point of contact for customer inquiries related to waste and recycling and stormwater services.
- Preparing and editing correspondence, reports, presentations, agendas, and meeting materials.
- Coordinating schedules, meetings, and administrative activities for the Utilities team.
- Maintaining electronic and physical filing systems, records, contracts, and compliance documentation.
- Processing invoices, purchase orders, payment requests, and vendor documentation.
- Supporting data collection, tracking, and reporting for waste diversion, Eco Centre operations, Extended Producer Responsibility (EPR) programs, and other departmental initiatives.
- Assisting with procurement activities, contract administration, and vendor coordination.
- Maintaining waste and recycling databases, service schedules, and delivery records.
- Supporting public education and community outreach initiatives, including events, communications, and promotional activities.
- Assisting with website updates, public information materials, and social media content related to Solid Waste & Stormwater programs.
- Providing administrative support across Utilities services, including Water and Wastewater, operations as required.
What You Bring
Qualifications
- High school diploma or equivalent.
- Canadian Certified Administrative Professional (CCAP), or Administrative Information Management Diploma considered an asset
- 1–5 years of progressively responsible administrative experience.
- Municipal experience is considered an asset.
- An interest in environmental stewardship, sustainability, waste reduction, and/or utility services is highly desirable.
- An equivalent combination of education and experience may be considered.
Skills & Abilities
- Strong organizational and time management skills with the ability to manage competing priorities.
- Excellent customer service and interpersonal skills.
- Strong written and verbal communication abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Experience maintaining databases, records, and administrative systems.
- Ability to prepare reports, summarize information, and support data-driven decision making.
- Experience processing invoices, accounts payable documentation, and vendor records.
- High attention to detail and commitment to accuracy.
- Ability to work independently while contributing positively to a collaborative team environment.

Working Conditions
