Job Summary

We are seeking an Entry-Level Office Administrative Coordinator & Collections Administrator to join our team on a full-time or part-time basis. This role is ideal for individuals looking to develop their administrative and customer service skills within a professional office environment. The successful candidate will support daily office operations, manage collections processes, and provide exceptional customer support, ensuring smooth workflow and efficient communication across departments.

Responsibilities

Assist with data entry and maintain accurate records using Microsoft Office and Google Workspace tools
Manage front desk duties including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Support billing and collections activities, including follow-up on overdue accounts and processing payments using QuickBooks
Perform clerical tasks such as filing, proofreading, and organizing documents to ensure easy retrieval and compliance
Provide excellent customer service by addressing inquiries via phone, email, or in person, demonstrating proper phone etiquette and organizational skills
Support administrative functions related to medical or dental office operations, including appointment scheduling and patient record management if applicable
Assist with general office tasks such as photocopying, scanning, and maintaining office supplies

Requirements

Prior office experience or clerical experience preferred; familiarity with medical or dental office environments is a plus
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or bookkeeping is desirable
Strong computer skills with the ability to perform data entry accurately and efficiently
Excellent organizational skills with attention to detail for proofreading and document management
Ability to handle multi-line phone systems professionally while providing exceptional customer support
Good typing speed and accuracy; familiarity with filing systems and administrative procedures
Demonstrated ability to work independently or as part of a team in a fast-paced environment
Strong communication skills with good phone etiquette and customer service orientation

Pay: $45,000.00-$55,000.00 per year
