Duties and Responsibilities:

The Executive Assistant (EA) provides senior-level executive, administrative, and operational support to the Vice President, (VP) People, Communications and Enrolment, playing a key role in advancing the strategic priorities of a broad portfolio that includes Human Resources, Communications and Marketing, Domestic and International Recruitment, and Enrolment Services.

Serving as a central point of coordination for the VP, the EA supports the effective management of daily operations, leadership activities, planning and reporting processes, special projects, and portfolio-wide initiatives. The position works proactively to anticipate the VP’s needs, establish structure around priorities and commitments, and ensure important work progresses across multiple departments and functions.

The EA actively manages the flow of priorities, information, decisions, and commitments through the Office of the VP. This includes triaging requests and issues, protecting and prioritizing the VP’s time, preparing the VP for meetings, coordinating follow-up on commitments, and ensuring actions, approvals, and deadlines are advanced appropriately. The EA maintains awareness of emerging priorities across the portfolio and institutional calendar and proactively identifies matters requiring the VP’s attention.

The EA facilitates communication and collaboration, coordinates cross-functional initiatives on the VP’s behalf, and supports the timely execution of portfolio priorities. The role also supports the VP’s leadership team's effectiveness by coordinating meeting agendas and materials, maintaining forward-planning calendars, tracking decisions and action items, and ensuring appropriate follow-through among portfolio leaders.

The EA develops and maintains comprehensive systems for tracking strategic priorities, business plan deliverables, projects, decisions, approvals, follow-up items, and other commitments of the VP. The position also helps maintain continuity within the Office of the VP by ensuring key decisions, commitments, correspondence, and supporting information are appropriately documented and accessible.

Key responsibilities include conducting research and gathering information; preparing briefing materials, presentations, correspondence, reports, and meeting materials; coordinating schedule, calendar, meetings, and supporting certain events and emergency communications; monitoring budget expenditures; responding to and triaging inquiries; drafting and proofreading documents; supporting special projects; and providing general administrative support.

The EA serves as an important liaison between the Office of the VP and other executive offices. The position exercises sound judgment in determining what requires the VP’s attention, what can be redirected or resolved elsewhere, and when matters should be escalated.

Qualifications:

A minimum of a three-year diploma or degree in Business Administration, Office Administration or Communications, along with 5 years of relevant experience.
Leadership development courses or certifications will be considered a strong asset.
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), SharePoint, and enterprise systems (e.g., Banner, FAST).
Strong organizational, time management, and project management skills with the ability to balance multiple priorities.
Exceptional interpersonal, verbal, and written communication skills, with sound judgment, diplomacy, and discretion in handling confidential matters.
Proven problem-solving, critical thinking, and conflict resolution abilities; able to work independently under pressure.
Experience in budget coordination and financial tracking.
Demonstrated commitment to equity, diversity and inclusion.
