Position Summary
We are seeking a highly organized and detail-oriented Office Administrator & Finance Coordinator to support the day-to-day financial and administrative operations of a growing organization. Reporting to the Office Manager, this role plays an important part in maintaining accurate financial records, supporting business operations, and providing exceptional service to clients, vendors, and franchise partners.
The successful candidate will be comfortable balancing multiple priorities in a fast-paced environment, possess strong communication skills, and have a keen eye for detail. Experience in financial administration, bookkeeping, or accounting support is considered an asset.
Key Responsibilities
Financial Administration & Accounting
- Manage Accounts Receivable and Accounts Payable functions, including invoicing, bill payments.
- Perform account and bank reconciliations.
- Assist with other accounting-related tasks.
- Investigate and respond to finance and accounting inquiries in a timely and professional manner.
Franchise Administration
- Manage all aspects of License Agreements.
- Coordinate and administer the Disclosure process.
Office Administration & Operations
- Answer and direct incoming phone calls.
- Manage incoming and outgoing mail, courier shipments, and deliveries.
- Perform filing, data entry, document management, and general administrative duties.
- Support day-to-day business operations.
- Assist with other related duties as required.
Client, Vendor & Team Support
- Respond to general customer service inquiries and ensure timely follow-up.
- Support the preparation of presentations, reports, correspondence, and other business documents.
- Assist with planning and coordinating meetings, training sessions, and company events.
- Prepare and distribute materials for leadership meetings and team communications.
What You'll Bring
- Minimum 1 year experience in a finance, accounting, bookkeeping, or administrative support role (including co-op or internship experience).
- Knowledge of bookkeeping, and general accounting principles.
- Strong proficiency with Microsoft Office, particularly Excel and spreadsheet applications.
- Experience working with accounting or financial software is considered an asset.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Excellent communication, time management and interpersonal skills.
- Ability to manage multiple priorities and work independently in a fast-paced environment.
- Professional, customer-focused approach when interacting with clients, vendors, and team members.
Working Conditions
Salary: Starting at $45,000 annually, based on experience
Hours: Approximately 37.5 hours per week
Schedule: Monday to Friday, between 8:00 a.m. and 4:30 p.m. Atlantic Time
Compensation:
