Role Overview
The Student Services & Accommodations Coordinator is a senior student-facing role responsible for supporting students across their full academic lifecycle, while leading the planning, coordination, and implementation of academic accommodations across HWCC campuses. This role combines hands-on student advising and records administration with a specialized focus on accessibility and individualized student support planning.
Working closely with the Student Services & Compliance Coordinator and Academic Directors, this position ensures students receive consistent, high-quality support while accommodation needs are identified early, documented thoroughly, and implemented effectively in collaboration with faculty and campus teams.
Key Performance Indicators
Student Success: Support timely program completion by maintaining proactive student contact and accurate progress tracking.
Accommodation Effectiveness: Ensure accommodation plans are in place, implemented on time, and adjusted as student needs evolve.
Record Accuracy: Maintain complete, audit-ready student records and accommodation documentation across all assigned campuses.
Student Experience: Contribute to a consistent, accessible, and student-centered experience from first contact through graduation.
Key Responsibilities
Student Support & Advising
- Serve as a primary point of contact for students navigating registration, program requirements, financial obligations, and general inquiries.
- Provide proactive, ongoing support to students throughout their program, with particular attention to students at risk of falling behind.
- Monitor student progress and escalate concerns to the appropriate academic or support team member in a timely manner.
- Assist with account setup, system access, and troubleshooting of student-facing platforms including Moodle and Campus Login CRM.
- Support orientation processes to ensure students are set up for success from day one.
Accommodation Planning & Implementation
- Serve as the designated accommodation coordinator across assigned HWCC campuses, managing the full cycle from intake through implementation and review.
- Receive and review accommodation requests, gather required documentation, and work with students to develop individualized accommodation plans.
- Communicate accommodation plans to relevant faculty and campus staff, ensuring timely and consistent implementation.
- Monitor the effectiveness of active accommodations and adjust plans in response to student feedback, academic progress, or changing needs.
- Maintain confidential, organized accommodation records in accordance with institutional policy and applicable privacy legislation.
- Identify systemic barriers to access and escalate patterns or gaps to the Student Services & Compliance Coordinator or Executive Director.
- Stay current on best practices in post-secondary accessibility and accommodation within the private career college context.
Student Records & Administration
- Maintain accurate, detailed, and confidential student records across all stages of the academic lifecycle.
- Liaise with faculty, administration, and relevant stakeholders to ensure student information is current and complete.
- Prepare and issue official documentation including enrollment letters, transcripts, completion letters, certificates, and diplomas.
- Manage student ID card creation, distribution, and replacement as needed.
Graduation & Progress Monitoring
- Track graduation requirements for assigned students, including attendance, grades, financial standing, practicum completion, and outstanding surveys.
- Proactively contact students to resolve outstanding requirements before graduation timelines are impacted.
- Ensure all student records are complete, accurate, and compliant prior to graduation processing.
Data Collection & Reporting
- Collect, organize, and maintain student lifecycle data with a high degree of accuracy.
- Generate reports to support retention monitoring, accommodation tracking, and institutional decision-making.
- Contribute data and documentation to support regulatory reporting and accreditation submissions as directed.
Operations & Campus Coordination
- Coordinate student and faculty supply shipments in collaboration with Facilities and Procurement.
- Support campus activities including orientations, site visits, trade shows, and open houses.
- Contribute to cross-functional team initiatives and provide general operational support as needed.
Qualifications
Education & Experience
- Diploma or degree in education, student affairs, disability services, health administration, or a related field (equivalent experience will be considered).
- Minimum 2–4 years of experience in student services, academic advising, or a related post-secondary or private career college role.
- Experience coordinating academic accommodations or disability services is a strong asset.
- Familiarity with provincial accessibility standards and privacy legislation as they apply to student records and accommodation documentation.
Knowledge & Skills
- Strong interpersonal skills with the ability to build trust with a diverse student population.
- Highly organized, with the ability to manage multiple accommodation plans and student cases simultaneously.
- Clear written and verbal communication skills; able to produce professional documentation and communicate sensitively with students about accommodation needs.
- Proficiency with Microsoft 365 (Teams, Outlook, Word); experience with Moodle and Campus Login CRM is an asset.
- Discretion and sound judgment in handling confidential student information.
- Collaborative and solutions-oriented; comfortable working with faculty and administrative teams across multiple campuses.
Experience working with adults in a health or wellness education environment is an asset.
Pay: $45,000.00-$60,000.00 per year
