Position Overview

The Property Administrator plays a key role in supporting the day-to-day operations of a residential property portfolio. This position is responsible for assisting with resident relations, administrative coordination, financial tracking, and maintenance support to help ensure smooth operations and a high standard of service across the portfolio.

Key Responsibilities

Prepare, track, and manage resident correspondence, including notices, memos, rent reminders, and general communications.
Maintain accurate resident and property files (electronic and paper), including leases, amendments, insurance certificates, service contracts, and other documentation.
Respond promptly and professionally to resident inquiries and coordinate with Property Managers to ensure timely resolution of issues.
Process resident move-in and move-out documentation and coordinate keys, access devices, welcome packages, and related communications.
Coordinate and track maintenance requests and follow up with vendors, contractors, and onsite staff as required.
Review, code, and track vendor invoices for approval in accordance with property budgets and procedures.
Assist with preparing budgets, tracking expenses, and maintaining financial and operational records.
Support monthly reporting by gathering operational updates, tracking arrears, and updating occupancy and vacancy information.
Maintain and track insurance certificates and other compliance-related documentation.
Assist with drafting resident communications and maintaining organized administrative records and tracking logs.
Provide general administrative support to the Property Management team and assist with special projects as needed.

Qualifications

2–4 years of experience in property administration, residential property management, or a related administrative role preferred.
Strong organizational and administrative skills with the ability to manage multiple priorities in a fast-paced environment.
Proficient in Microsoft Office Suite (Excel, Word, Outlook); familiarity with property management systems such as Yardi or MRI is considered an asset.
Strong attention to detail and ability to work both independently and collaboratively.
Professional and customer-service-oriented approach when interacting with residents, vendors, and team members.
