The Archives of the Diocese and its Archives Committee, are mandated to collect, preserve and provide access to the records of permanent and enduring value of the Diocese, its officers, clergy, parishes, regions, agencies, committees, societies, organizations and groups created by, or associated with the Diocese.
- The Archivist will provide guidance on archival theory, preservation standards, and historical research methods. This includes an initial training week and ongoing "side-by-side" instruction.
- Operational supervision: The Manager of Operations will manage scheduling, and workflow.
Start Date July 6, 2026 to August 29, 2026. 35 hours per week
RESPONSIBILITIES& JOB DUTIES
The collection consists of 370 linear metres of textual and graphic material, including 4 metres of small artifacts and a Reference Library of 10 metres of published material.
1. Records Management & Organization
· Sort, organize, and rehouse historical and administrative records.
· Apply basic archival standards for arrangement and description.
· Support the creation and maintenance of file naming and storage conventions.
· Enter, clean, and update records in the diocesan archives database.
· Assist in migrating or standardizing legacy data where required.
2. Preservation & Handling
· Execute basic preservation activities, including the removal of staples, paper clips, and acidic materials.
· Rehouse materials in archival-safe folders and boxes.
· Monitor environmental storage conditions (temperature, humidity, light exposure).
· Flag fragile or damaged materials for professional conservation.
· Health & Safety: Adhere to all safe handling protocols for heavy boxes and historical materials.
3. Cataloguing, Database Management & Metadata
· Create and update catalogue records using established archival standards.
· Enter descriptive data for physical and digital collections.
· Assign reference codes, dates, and access notes to records.
· Assist in developing inventories and finding aids to improve accessibility.
4. Digitization & Digital Skills
· Scan selected documents and photographs following digitization best practices.
· Name and organize digital files according to strict diocesan standards.
· Upload and link digital objects in the archival database.
· Perform quality control checks on scanned materials.
5. Client Service: Public and Parish Inquiries
· Aid the archivist in responding to inquiries from parishes, clergy, researchers, and the public in a professional manner.
· Maintain accurate logs of requests and responses.
· Ensure strict privacy and confidentiality standards are upheld regarding sensitive personal data.
6. Administrative & Project Support
· Support special projects related to diocesan anniversaries, exhibitions, or publications.
· Assist with the preparation of materials for research visits.
· Help maintain statistics on archive usage and inquiries to track engagement.
Skills and Learning Objectives
Competency: Gain a deeper understanding of religious and community history and the importance of preserving heritage for future generations
Skills: Gain proficiency in database software, digitization processes and file management protocols
TECHNICAL SKILLS:
· Will be familiar with filing and records management systems.
· Will have some general office experience and/or the following skills:
o Proficiency with Microsoft WORD, EXCEL and ACCESS database.
o Excellent written and verbal communication skills.
o Clear hand-printing skill for permanent labeling.
o Experience in serial scanning/photocopying and digital filing.
