Position Overview: The Recruitment Assistant supports the talent acquisition team in managing day-to-day recruitment operations. This role is instrumental in ensuring a smooth, efficient hiring process — from posting opportunities and screening candidates to coordinating with hiring managers and onboarding new hires into company systems. The ideal candidate thrives in a fast-paced environment while exercising the care and attention to detail required to get things right.
Duties & Responsibilities

Post job openings across relevant platforms and job boards in a timely manner

Review and update job descriptions as required

Review applications and shortlist qualified candidates based on role requirements

Conduct pre-screening calls and assessments to evaluate candidate suitability

Coordinate and schedule interviews between candidates and hiring managers

Conduct and document reference checks for selected candidates

Submit new user and system access requests to IT for onboarding of successful hires

Communicate recruitment status updates to hiring managers on a regular basis

Maintain accurate and up-to-date records within the Applicant Tracking System (ATS)

Provide vacation and absence coverage for other members of the recruitment team

Support process improvement initiatives and contribute ideas to enhance recruitment workflows

Participate in recruitment meetings to provide updates on active positions

Liaise with the HR Generalist team to support seamless candidate onboarding and employee transitions

Support recruitment activities across multiple Canadian provinces
Qualifications & Experience

Previous experience in a recruitment, HR, or administrative support role is preferred

Hands-on experience with an Applicant Tracking System (ATS)

Strong written and verbal communication skills, with the ability to manage multiple stakeholder relationships simultaneously

Highly organized with strong attention to detail and a commitment to accuracy

Open to change and continuous improvement — embraces new tools and processes with a positive attitude

Previous experience in an administrative or coordination role, with the ability to manage competing priorities and meet deadlines in a fast-paced environment

Proficiency with Microsoft 365 applications including Outlook, Teams, Word, and Excel

Familiarity with SharePoint for document management and team collaboration

Experience in the transportation or logistics industry is not required but is considered a strong asset
